Full Job Description
Position Summary:

Reporting to the Assistant Finance Manger, the Senior Accountant owns core general ledger accounting and accounts receivable activities while supporting an accurate, timely monthly and annual close. This hands-on position spans daily revenue and cash receipt processing-including basic mail sorting and routing-through technically complex journal entries, balance sheet reconciliations, prepaid expense allocations and amortization, and fixed asset accounting. The Senior Accountant collaborates with Fund Development, Contracts, Programs and other Finance staff to maintain strong internal controls, ensure appropriate nonprofit revenue recognition, and produce audit-ready records. The position also provides backup support for payments and disbursements as needed.

Essential Duties and Responsibilities

Accounts Receivable and Cash Receipts
  • Own day-to-day accounts receivable processes, including recording invoices, receipts, credits and adjustments; applying payments accurately; reconciling receivable subledgers to the general ledger; and investigating discrepancies.
  • Prepare and record donation deposit batches in coordination with Fund Development; reconcile contribution records, deposits and general ledger activity and support appropriate gift and contribution revenue recognition.
  • Process receipts from government agencies and other funders; monitor outstanding receivables, analyze aging, follow up on past-due balances with relevant teams, and recommend supported adjustments or write-offs for approval.
  • Review, code and post cash receipts, bank EFTs and other revenue transactions; reconcile deposit activity to bank records and resolve unapplied or unidentified receipts.
  • Perform basic incoming mail sorting and routing under GLIDE's mail-handling procedures, without opening non-donation mail unless expressly authorized; promptly route checks and sensitive correspondence and maintain appropriate custody and segregation-of-duties controls.
  • Coordinate with the Contracts team on contract receivables, billing support, reconciliations and timely documentation; support grant claims or invoices when assigned.

General Ledger and Close
  • Prepare, substantiate and post routine and complex journal entries, including accruals, deferrals, reclassifications, allocations, corrections and other adjusting entries, with clear supporting schedules and approval of documentation.
  • Own prepaid expense schedules: identify and record prepaid costs, determine appropriate allocation periods, calculate and post recurring amortization entries, and reconcile balances monthly.
  • Maintain the fixed asset register and supporting records; evaluate capitalization under GLIDE policy, record acquisitions, transfers, disposals and depreciation, and reconcile fixed assets and accumulated depreciation to the general ledger.
  • Prepare and review assigned balance sheet account reconciliations; research and resolve reconciling items, maintain roll-forward schedules, and escalate unusual or aged balances.
  • Execute assigned monthly, quarterly and year-end close tasks by established deadlines, including reconciliations, journal entries, variance analysis and review of account coding and completeness.
  • Analyze financial statements and account-level fluctuations, investigate unusual transactions and propose corrections; support accurate nonprofit financial reporting in accordance with GAAP and GLIDE policies.
  • Calculate and record in-kind contributions when supported by appropriate documentation and applicable accounting guidance; coordinate with Fund Development on classification and valuation.

Controls, Audit and Collaboration
  • Maintain organized, complete and audit-ready workpapers for journal entries, receivables, reconciliations, prepaid expenses and fixed assets; respond to financial audit, single audit and grantor review requests as assigned.
  • Apply internal controls, including appropriate authorization, documentation, confidentiality and segregation of duties, to cash handling, revenue processing and journal entry preparation.
  • Partner with Fund Development, Contracts, Programs and other departments to resolve coding, revenue recognition and transaction issues and improve accounting workflows.
  • Help document and improve procedures; support accounting-system changes and data integrity, including the transition from Sage Intacct to NetSuite as applicable.
  • Cross-train to provide backup for selected payment and disbursement functions when needed, subject to appropriate controls; complete special projects and other duties assigned by the Controller.

Minimum Qualifications

  • Bachelor's degree in accounting or a related field preferred; equivalent education and progressively responsible accounting experience considered.
  • At least 4-6 years of progressively responsible accounting experience, including substantial hands-on general ledger work, month-end close and account reconciliations; nonprofit experience strongly preferred.
  • Demonstrated experience independently preparing complex journal entries and maintaining prepaid expense amortization schedules and fixed asset/depreciation records.
  • Experience with accounts receivable, cash receipts and revenue reconciliation; familiarity with nonprofit contributions, restricted funding or government contracts preferred.
  • Strong working knowledge of U.S. GAAP, accrual accounting and internal controls; ability to identify errors, research accounting treatment and prepare clear workpapers.
  • Advanced Excel skills, including lookups, pivot tables and multi-tab reconciliations; experience with Sage Intacct and/or NetSuite preferred.
  • Ability to manage competing deadlines and detailed transactional work alongside complex accounting responsibilities with sound judgment and discretion.
