Overview
The New Truck Sales Operations Manager is responsible for leading and managing the administrative and operational functions of the New Truck Sales Department. This position provides strategic leadership for the sales operations team while overseeing inventory management, truck ordering and specifications, OEM concession programs, CRM processes, and administrative operations that support new truck sales. The Sales Operations Manager is responsible for driving operational excellence, developing scalable processes, ensuring compliance with OEM requirements, and partnering with dealership leadership to maximize sales performance and customer satisfaction throughout the region.
Responsibilities
- Directly supervise the administrative team, including the New Truck Porter, ensuring efficient execution of daily operational activities, inventory movement, and vehicle logistics.
- Lead, mentor, and develop the New Truck Sales Operations team by providing clear direction, coaching, performance management, and professional development opportunities.
- Conduct regular performance evaluations, establish measurable goals, and foster a culture of accountability, collaboration, customer service, and continuous improvement.
- Create standardized procedures and training programs while developing business intelligence tools to drive data-driven organizational decision-making.
- Oversee all aspects of new truck sales administrative operations, including documentation, workflow management, scheduling, accounts payable and receivable support, and process optimization.
- Provide operational support across dealership locations in the AOR while promoting consistency in sales processes and execution.
- Manage daily new truck inventory administration, including inventory movement, transfers between locations, aging, allocations, availability, and inventory mix to support sales objectives.
- Oversee the Volvo and Mack new truck order boards, ensuring order accuracy, production visibility, timely updates, and effective communication with sales personnel and OEM partners.
- Lead the specification development and ordering process for new trucks by partnering with customers, sales representatives, and manufacturers to ensure vehicles are accurately configured and ordered.
- Coordinate with OEM representatives to manage production schedules, allocation opportunities, order modifications, and delivery timelines.
- Build and manage reporting tools and dashboards that provide visibility into ordered, in-transit, delivered, and inventory units while supporting forecasting and business planning.
- Establish, maintain, and continuously improve CRM processes to ensure consistent sales pipeline management, accurate customer information, and effective reporting.
- Identify operational challenges and implement process improvements that increase efficiency, accuracy, and productivity.
- Manage manufacturer concession and incentive programs, ensuring compliance with OEM requirements, timely submissions, and accurate reimbursement.
- Stay informed on government incentive programs, grant opportunities, and evolving OEM initiatives.
- Support dealership leadership and the sales team by researching available grant and incentive opportunities and helping develop internal communications, sales resources, and customer-facing materials related to applicable programs.
- Partner with senior leadership to develop and implement strategic initiatives that support sales growth, operational excellence, and inventory optimization.
- Monitor industry trends, OEM program changes, competitive activity, and best practices to maintain a competitive advantage.
- Analyze operational and sales performance metrics to identify opportunities for increased efficiency, improved customer experience, and enhanced profitability.
- Champion continuous improvement initiatives across regional sales operations.
Qualifications
- Bachelor's degree in Business, Management, Supply Chain, Operations, a related field, or equivalent combination of education and experience.
- Minimum two years’ experience in fast-paced administrative support role
Proficient with office equipment (e.g., fax machines, copiers, phone systems, etc.) and computer programs (e.g., MS Office Word and Excel, etc.)
Excellent phone etiquette, professional demeanor, and customer service skills
Strong organizational skills and ability to maintain organized files and multi-task successfully
- Experience within heavy duty equipment or auto dealership industry preferred
- Valid driver's license and ability to meet insurance requirements
- Travel – both driving and commercial flying.
- Often required to move about inside and outside office.
- Often required to operate and use computer and other office equipment.
- Frequently required to utilize vision to perform tasks such as inspection.
- May occasionally lift and/or move up to 50 pounds.
CompensationThe base pay range for this position is $108,410 to $126,933.
