Job Overview:
Behind every store refresh, fixture rollout, and field labor program is a business engine that has to run cleanly: vendors sourced and onboarded, purchase orders and invoices accurate in the ERP, performance documented, and every dollar tracked against plan. The Retail Business Operations Manager owns that engine.
This role manages the end-to-end commercial workflow for Retail Operations vendors - third-party labor providers, fixture manufacturers, and other retail operations partners - from RFP through onboarding, execution, invoicing, proof of performance, and budget reconciliation. You are the operational liaison between Finance, Marketing, and Retail Operations, keeping all three aligned on commitments, spend, and results.
Duties/Responsibilities:
- RFP management: Manage the RFP workflow for retail operations vendors: scope development, bid solicitation, evaluation support, and award documentation, ensuring a fair, documented, and defensible process.
- Vendor onboarding: Own vendor onboarding end to end - contracts, W-9/insurance documentation, compliance requirements, and setup in company systems - so new partners are ready to work without delays.
- GRS / ERP accuracy: Maintain accuracy in GRS (Hisense ERP): purchase orders, goods receipts, vendor records, and cost-center coding for all retail operations spend; identify and correct discrepancies before they become month-end problems.
- Invoicing: Manage the vendor invoicing cycle - validate invoices against POs, contracts, and completed work; route for approval; resolve disputes; and keep payments on schedule to protect vendor relationships.
- Proof of performance: Administer the proof-of-performance process: collect, audit, and archive completion documentation (photos, signoffs, service reports) for third-party labor, fixture installations, and other vendor programs before payment is released.
- Budget vs. actual: Own budget-versus-actual tracking for retail operations spend: maintain trackers, reconcile monthly with Finance, flag variances early, and support forecasting and accrual processes.
- Cross-functional liaison: Serve as the working-level liaison between Finance, Marketing, and Retail Operations - translating program plans into POs and budgets, and financial requirements back into operational process.
- Process improvement: Continuously improve the workflow: document processes, close control gaps, and build reporting that gives leadership a clear, current view of vendor spend and performance.
Requirements/Qualifications:
- Bachelor's degree in Business, Finance, Supply Chain, or a related field, or equivalent practical experience.
- 8-10 years of experience in business operations, vendor management, procurement, or financial operations - ideally supporting retail execution, merchandising, or field services.
- Hands-on ERP experience (SAP or comparable; GRS experience a plus): purchase orders, goods receipts, invoice matching, and vendor master data.
- Demonstrated experience managing vendor lifecycles - RFPs, contracts, onboarding, performance documentation, and payment resolution.
- Strong command of budget management: tracking committed vs. actual spend, reconciliations, accruals, and variance analysis.
- Familiarity with Excel and structured trackers, and the discipline to keep data clean at transaction level; dedicated business analyst support handles advanced reporting.
- A process-minded, detail-driven working style with the communication skills to keep Finance, Marketing, and Operations stakeholders aligned - and the backbone to hold vendors accountable.
- This role may be performed remotely within the US, with occasional travel to the Alpharetta, GA office for planning cycles, team meetings, and vendor reviews.
