Full Job Description
About the Role

The Program Management Advisory and Execution (PMAE) is enterprise-level resource that supports all business units across the bank to plan, execute, and govern complex cross-functional initiatives, programs, and projects. We act as partners to interject project management discipline into work efforts. The PMAE is an organization consisting of over 90 program management professionals, each with a diverse background.

This is a highly matrixed organization where your primary manager will not be providing daily oversight of your day-to-day responsibilities. You will be expected to operate independently while interacting with your clients and stakeholders. This role will balance two sets of responsibilities depending on the demand needs of PMAE: resource management and program management.

In the Resource Analyst role, you will closely partner with the PMAE Resource Manager to drive forward the Talent Management Strategy and various department processes that deliver efficient and effective operations of PMAE. The analyst will have a wide range of responsibilities, offering the opportunity to engage with team members at all levels of the organization and learn what it takes to run a successful, growing team offering Citi-wide services in high demand.

In the Program Analyst role, you will support complex initiatives through all activities in the life cycle (i.e., risk/issue management, reporting, plan management). This position offers opportunity to learn fundamentals of program management while gaining practical hands-on experience necessary for end-to-end program delivery on large programs. Prior PM experience is not required.

Responsibilities
  • Effectively prioritize, while handling multiple time-sensitive tasks in fast paced environment.
  • Apply appropriate judgement on when to escalate and with solution options.
  • Own data quality.
  • Support execution of the PMAE departmental events and processes such as staff meetings, billing, collegial reviews, knowledge sharing sessions. Other processes:
    • Drive forward the recruiting process by proactively tracking candidates through all the interview and disposition steps to ensure candidates move through the process expeditiously.
    • Onboard new program managers into PMAE, ensuring they have all the resources and information needed to become quicky self-sufficient and productive.
    • Look for opportunities to recommend and implement improvements to departmental processes that will increase productivity, satisfaction, and retention of the PMAE workforce.
    • Gather, analyze, and monitor departmental data such as utilization rates, spending, etc.
    • Accountable for completeness and accuracy of the portfolio utilization tracker that drives the assignments of the program managers and the programs.
    • Partner with the Resource Manager on executing the Talent Management Strategy.

  • Support all activities in a program life cycle such as:
    • Own and execute core PM processes.
    • Support dependency identification and management.
    • Actively maintain project/program plans and drive successful completion of project tasks and/or milestones.
    • Manage critical program documentation including governance charts, charters, RACI charts, communication plans, and metrics.
    • Leverage Citi PM tools to support effective program delivery.
    • Ensure compliance with Citi's project procedure and controls.
    • Own and create reporting cadence to align with management reporting and meeting deliverables.
    • Generate metrics as needed (e.g., plans and reporting) to demonstrate progress against objectives.
    • Assist in the documentation of meetings and in the tracking and timely resolution of outcomes and follow-up actions.

Qualifications
  • Bachelor's Degree or equivalent work experience.
  • 5-8 years of professional experience.
  • Must have advanced knowledge of data manipulation in MS Excel inclusive of functions/formulas such as: vlookup, index, match, filter, sort, unique, and if statements, pivot table creation and design.
  • Technical proficiencies in other MS office products (PowerPoint, Word, Outlook).
  • Must be able to work at designated Citi location 3 days / week.
  • Demonstrated strong organizational, time management and process management skills necessary to maintain high volume workload.
  • 4+ years of experience in analyst role in a corporate environment dealing with competing demands, fast pace, and changing directions.
  • Experience and ease in interfacing with Senior Management.
  • Individual should be analytical, flexible, team-oriented, and with strong sense of task ownership.

Additional Preferred Qualifications:
  • Professional experience in a large corporation, within the financial sector, is a plus.
