Full Job Description
We are currently seeking an experienced Resource Coordinator to support one of our key clients, a global leader in the financial services industry, on a six-month consulting engagement with the potential for full-time employment. This role offers the opportunity to work with a high-performing in-house production team producing executive communications, marketing campaigns, digital content, social media, motion graphics, animation, and live productions.
The Resource Coordinator is responsible for coordinating production schedules, staffing plans, crew coverage, and resource allocation across multiple active and upcoming productions. Working closely with Production Managers and Production Operations, you’ll help ensure productions are appropriately staffed, scheduled, and supported while proactively identifying scheduling conflicts and operational risks.Responsibilities:
Coordinate crew, equipment, studio space, and production resources across multiple concurrent productions.
Partner with internal stakeholders and staffing partners to schedule freelance crew, including camera, audio, lighting, and production support personnel.
Manage production calendars and scheduling for interviews, studio shoots, field productions, live events, and special projects.
Review and validate weekly timesheets and vendor invoices.
Coordinate equipment reservations and purchases through internal channels and external production partners.
Prepare production quotes and maintain expense records and receipts.
Coordinate onboarding of freelance production crew.
Develop and maintain resource forecasts, utilization reports, capacity plans, and scheduling dashboards.
Communicate scheduling updates during weekly production meetings.
Recommend workflow improvements and scheduling efficiencies.
Serve as the central point of coordination between production teams, business stakeholders, vendors, and crew to ensure productions remain fully staffed and on schedule.
Qualifications:
5+ years of experience in production coordination, scheduling, resource planning, or production operations.
Strong experience managing multiple productions, calendars, vendors, and freelance crews simultaneously.
Proficiency with Microsoft 365, particularly Outlook.
Experience with Smartsheet, Airtable, Monday.com, or comparable resource planning platforms.
Exceptional organizational skills and attention to detail.
Strong communication and relationship-building skills.
Ability to proactively identify scheduling conflicts, solve problems, and adapt quickly to changing priorities.
Understanding of studio operations, production technology, and end-to-end production workflows.
Ability to thrive in a fast-paced, deadline-driven production environment.
Availability to provide occasional weekend support as production schedules require.
This role supports approximately 20 active productions each week while simultaneously planning resources for 30 future projects, making exceptional organization and prioritization skills essential.
Physical Effort:
Prolonged sitting and standing work at a computer, requiring frequent use of monitors

Compensation Range: $1,800 - $1,900 per week
