Summary

The Department of Medicine seeks a highly skilled Research Program Management Associate to oversee assigned operational, financial, and administrative activities for a diverse portfolio of federally funded health services research programs within the Section of Health Services Research. This position exercises professional judgment in research administration, financial management, workforce planning, and institutional compliance while serving as an operational resource to faculty investigators and departmental leadership. The role analyzes program performance, prepares operational and financial reports, recommends process improvements, and contributes to the successful execution of research programs and departmental objectives. The Research Program Management Associate will utilize Success Factor (SF), BRAIN, Microsoft Excel, SAP S/4HANA, Power BI, and and other institutional role specific systems to prepare proposal budgets, monitor award activity, perform financial analyses, and maintain compliance with sponsor and institutional requirements.

Job Duties

Research Program Management (30%)

• Oversees assigned operational activities for a diverse portfolio of federally funded health services research programs. Implements established project plans and operational priorities, monitors project milestones and deliverables, identifies operational issues and recommends solutions, and applies standardized workflows that improve efficiency and ensure compliance with institutional policies and sponsor requirements.
• Exercises independent judgment in carrying out assigned responsibilities while keeping leadership informed of significant issues and recommendations.

Financial Management and Grant Administration (25%)

• Conducts proposal development, budget preparation, financial forecasting, effort planning, and post-award financial administration for multiple sponsored research projects.
• Performs financial analyses, monitors expenditures, identifies budget variances, prepares recommendations, and reviews financial reports while ensuring compliance with sponsor regulations and institutional policies.

Human Resources and Workforce Management (15%)

• Conducts personnel administration activities related to recruitment, onboarding, personnel actions, effort planning, and funding allocations for faculty, staff, trainees, and students supporting the research portfolio.
• Analyzes workforce needs, prepares staffing recommendations, monitors personnel funding, and provides guidance regarding research administration processes and institutional procedures.

Research Analytics, Productivity, and Reporting (20%)

• Maintains and enhances reporting systems that monitor research productivity, grant performance, financial outcomes, publications, presentations, and other scholarly activities.
• Produces dashboards, annual reports, sponsor progress reports, and executive presentations that support departmental leadership and institutional decision-making. Identifies operational trends and recommends opportunities to improve research program effectiveness.

Strategic Initiatives and Continuous Improvement (10%)

• Evaluates research administration workflows, recommends standardized operating procedures and best practices, and implements approved process improvements that enhance operational efficiency, strengthen compliance, and reduce administrative burden.
• Participates in departmental strategic initiatives and special projects while collaborating with institutional offices and external partners to advance research operations.
• Performs other job duties as assigned.

Minimum Qualifications

• Bachelor's degree.
• Two years of relevant experience.

Preferred Qualifications

• Bachelor's degree in Business Administration, Healthcare Administration, Public Health, Research Administration, Finance, or a related field.
• Three or more years of progressively responsible experience in research administration, academic medicine, healthcare operations, grants management, or financial administration.
