Job Description

We are seeking an experienced Regional Integrated Facilities Management Manager to oversee the delivery of integrated facilities management services across a portfolio of approximately 8-10 customer locations.

This role is responsible for the overall operational, financial, safety, service, and customer performance of the assigned sites. The Regional IFM Manager will lead site-based employees, coordinate services provided by internal branch operations, manage third-party vendors, and ensure consistent execution of contractual requirements across the portfolio.

The role will oversee a combination of self-performed and subcontracted services. Self-performed teams may include building engineers, reception personnel, handypersons, and other site-based employees. Additional services may be provided through internal company branches, specialized service lines, or external vendors.

The ideal candidate is a hands-on facilities leader with strong multi-site management experience, technical and operational knowledge, financial discipline, vendor-management capabilities, and the ability to build trusted relationships with customers, employees, internal partners, and suppliers.

Responsibilities

Regional and Multi-Site Operations
• Provide leadership and operational oversight for approximately 8-10 customer sites within the assigned region.
• Ensure consistent delivery of integrated facilities management services across all assigned locations.
• Maintain accountability for site performance, staffing, service quality, customer satisfaction, safety, compliance, and financial results.
• Establish regional operating standards, service routines, reporting processes, and performance expectations.
• Conduct regular site visits, operational reviews, inspections, and meetings with site teams and customer representatives.
• Identify operational risks, service gaps, and performance issues and develop appropriate corrective action plans.
• Ensure site operations align with contractual requirements, scopes of work, service-level agreements, company standards, and customer expectations.
• Coordinate emergency response, business continuity, and incident-management activities across the portfolio.
• Support mobilizations, transitions, new-site openings, scope expansions, and operational changes.

Customer Relationship Management
• Serve as the primary regional point of contact for customer leadership and key site stakeholders.
• Lead recurring customer meetings, operational reviews, and performance discussions.
• Provide clear reporting on service delivery- hard and soft services, financial performance, staffing, risks, projects, and improvement initiatives.
• Respond promptly to customer concerns and ensure timely resolution of service issues.
• Understand the customer's business priorities and align facilities services to support their operational objectives.
• Identify opportunities to improve service delivery, expand scope, increase efficiency, and strengthen the customer relationship.
• Ensure consistent communication between the customer, site teams, branch partners, vendors, and account leadership.

Team Leadership and Workforce Management
• Lead, coach, and develop site-based employees supporting the regional portfolio.
• Provide direct or indirect oversight of building engineers, reception personnel, handypersons, site coordinators, and other assigned employees.
• Establish clear performance expectations, responsibilities, schedules, and service standards.
• Conduct regular one-on-one meetings, team meetings, performance reviews, and employee-development discussions.
• Partner with human resources and recruiting teams to support hiring, onboarding, training, performance management, and employee retention.
• Ensure appropriate staffing coverage across all assigned sites.
• Monitor overtime, vacancies, attendance, scheduling, and workforce productivity.
• Develop succession plans and identify opportunities for employee growth and advancement.
• Promote a culture of accountability, collaboration, safety, customer service, and continuous improvement.
• Ensure employees complete required technical, safety, compliance, and customer-specific training.

Self-Performed Service Management
• Oversee the delivery of self-performed facilities services across assigned sites.
• Manage and support building engineering, general maintenance, reception, workplace services, handyperson, and other site-based functions.
• Ensure self-performed teams have the appropriate tools, training, materials, procedures, and leadership support.
• Monitor preventive maintenance, corrective maintenance, service requests, work orders, and customer-response times.
• Evaluate team capacity and determine when work should be self-performed, supported by an internal branch, or outsourced to a vendor.
• Ensure technical work is completed safely, correctly, efficiently, and in accordance with applicable codes and standards.
• Review staffing models and service-delivery methods to improve productivity and control costs.
• Maintain clear accountability for work quality, completion, documentation, and customer communication.

Internal Branch and Service-Line Coordination
• Coordinate services provided by internal branches, regional operations teams, and specialized service lines.
• Partner with branch leaders to plan staffing, schedule work, resolve service issues, and maintain accountability.
• Ensure internal branch services meet customer expectations, contractual requirements, pricing agreements, and service-level commitments.
• Facilitate communication between site teams, branch operations, account leadership, and customer representatives.
• Clarify ownership and responsibilities when multiple internal teams support the same location.
• Review branch service performance, labor utilization, response times, cost, and quality.
• Escalate and resolve recurring performance or coordination issues.
• Support the development of standardized processes for engaging internal branch resources across the portfolio.
• Identify opportunities to leverage self-performed capabilities and reduce unnecessary subcontracting.

Vendor and Supplier Management
• Manage third-party vendors and subcontractors supporting the regional portfolio.
• Participate in vendor selection, qualification, onboarding, and performance evaluation.
• Review vendor scopes, pricing, service agreements, proposals, and contract requirements.
• Monitor vendor performance against service-level agreements, response times, quality standards, safety requirements, and customer expectations.
• Conduct regular vendor performance reviews and implement corrective actions when necessary.
• Coordinate vendor activities with site teams, internal branches, procurement, finance, and customer stakeholders.
• Resolve vendor-related issues involving service quality, invoicing, pricing, scheduling, documentation, or compliance.
• Validate that completed vendor work meets scope, quality, and billing requirements.
• Identify opportunities for vendor consolidation, cost reduction, improved terms, and service standardization.
• Ensure vendors maintain required insurance, licensing, safety documentation, background checks, and customer-required credentials.

Qualifications
• Bachelor's degree in Facilities Management, Engineering, Business Administration, Operations Management, Construction Management, or a related field, or equivalent relevant experience.
• Five or more years of progressive experience in facilities management, property operations, engineering, maintenance, or integrated facilities services.
• Experience managing multiple customer locations, facilities, or branches.
• Experience leading frontline employees, technical teams, and site-based personnel.
• Experience managing subcontractors, vendors, and service providers.
• Working knowledge of building operations, preventive maintenance, work-order management, and facilities service delivery.
• Experience managing budgets, forecasts, labor costs, vendor expenses, and financial performance.
• Strong customer-service, communication, leadership, and problem-solving skills.
• Ability to travel regularly between assigned sites.
• Ability to manage competing priorities and respond effectively to urgent operational needs.
• Proficiency with Microsoft Office, including Excel, Outlook, PowerPoint, and Teams.
• Experience using a CMMS, work-order platform, or facilities-management technology.
