Job Description | Temporary Event and Workplace Coordinator
Job Summary

The Regional Event Coordinator is responsible for supporting the administration of events in high-volume markets while also assisting with workplace operations during a temporary assignment. This role ensures event requests are accurately scoped, appropriately assigned, and aligned with market resources and priorities. The coordinator maintains the local event calendar, tracks space utilization, and serves as the operational backbone supporting successful event execution.

In addition to event administration, this role will provide operational support across workplace services as business needs allow.

Key Responsibilities
  • Review, clarify, and triage incoming event requests to ensure completeness, accuracy, and alignment with available resources.
  • Assign tickets to the appropriate responsible party based on event scope and ownership guidelines.
  • Proactively communicate with requestors to confirm needs and gather any missing information before assignment.
  • Maintain and manage the event space calendar for assigned markets, ensuring efficient scheduling and utilization.
  • Track and monitor scheduled events across the market, maintaining awareness of weekly activity and potential scheduling conflicts.
  • Proactively escalate issues related to event scheduling or workplace operations to the appropriate stakeholders.
  • Provide administrative support for event operations, including preparing reports, intake summaries, and other documentation as needed.
  • Identify trends in event requests or space utilization to support continuous improvement and operational efficiency.
  • Demonstrate a commitment to exceptional customer service by proactively identifying opportunities to enhance the workplace experience.
  • Follow established procedures for escalation, conflict resolution, and incident reporting.
  • Provide onsite support for meetings, events, and workplace initiatives as needed.
  • Perform other duties as assigned.


Qualifications
  • 2+ years of experience in administrative, workplace services, hospitality, customer service, mailroom, facilities, or operational support roles.
  • Experience supporting workplace events, facilities operations, or hospitality services preferred.
  • Exceptional attention to detail, organization, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with scheduling and ticketing systems (Jira, Google Workspace, or facilities/event management systems preferred).
  • Strong customer service mindset with the ability to build positive relationships and manage expectations.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Passion for creating exceptional workplace experiences.

Estimated compensation for this position:

90,000.00 - 105,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
