Job Description

The Foster School is looking for an outstandingRecruiting and Admissions Manager to support the Master of Science in Entrepreneurship (MS ENTRE) program within the Specialty Masters (SM) Portfolio.

About this Opportunity

Reporting to Samantha Ogle, Academic Services, Director, the Recruiting and Admissions Manager is responsible for MS ENTRE, which is a 12-month, self-sustaining graduate program which focuses on the startup process, stages of development, and prepares students to build and launch high-impact companies. The degree is based on a real-world, practical curriculum, mentoring Seattle entrepreneurs, and the opportunity to work on a student27s own ideas. The Counseling Services Coordinator will report to the Director for MS ENTRE. The position will interact regularly with staff from the Specialty Masters Team, Buerk Center for Entrepreneurship, and the Foster School, faculty, and prospective students in a wide range of advising and administrative tasks.

We are searching for a motivated individual who can work in a flexible environment, who is capable of working independently, and exercising independent judgement. This position requires strong people skills and knowledge of university procedures, rules, systems, and policies. The person in this position must be able to communicate effectively with students, prospective students, and applicants with widely varying academic backgrounds, work experiences, and nationalities. The Recruiting and Admissions Manager will administer admissions and recruiting activities and events, and should be available some evenings and weekends, as required.

This is a detail-oriented position, requiring handling of multiple tasks, customer service and good people skills, and knowledge of University procedures, rules, systems, and policies; however, the position also requires a strategic vision for key areas of marketing/recruiting/admissions, program operations, student services, mentoring, and alumni engagement. We are seeking an educational leader who is mindful of complexities in today27s higher education landscape and can translate those into meaningful, forward-thinking academic planning policy and practice and who has a good understanding of the direction and goals of the program to keep its potential base expanding.

Key Responsibilities

Recruitment, Marketing, & Outreach (55%)

  • Serve as the lead recruiter for the Master of Science in Entrepreneurship program and support recruitment efforts across all SM programs, with responsibility for developing, executing, and managing recruitment and prospective student engagement strategies.

  • Act as the primary point of contact for prospective students, providing individualized advising and guidance from initial inquiry through enrollment.

  • Counsel candidates on program fit, admissions requirements, prerequisites, curriculum, financial aid, career services, and application preparation through in-person meetings, virtual appointments, phone, email, and web conferencing.

  • Design and implement lead generation and lead nurturing activities, including prospective student communication plans, email marketing campaigns, social media outreach, website content coordination, and other recruitment initiatives in collaboration with SM Program and internal marketing partners.

  • Develop and deliver information sessions, application workshops, and other recruitment events, both in person and online, to engage prospective students and support application conversion.

  • Represent the programs at graduate school fairs, industry events, recruiting events, informational meetings, and one-on-one advising appointments.

  • Manage prospective student engagement programs, including class visits and student ambassador initiatives; when needed recruit, train, and advise student ambassadors to promote programs, share their experiences, and provide peer support to prospective students.

  • Manage prospective student communications and CRM activities to ensure accurate tracking of leads, timely follow-up, and effective recruitment workflows.

  • Respond to a high volume of inquiries regarding admissions, program requirements, tuition and fees, financial aid, curriculum, career services, events, and enrollment processes, ensuring a high level of customer service and responsiveness.

  • Collaborate with student staff, alumni relations, SM team, Buerk Center staff, marketing, and other stakeholders to support recruitment efforts, expand outreach opportunities, and strengthen prospective student engagement.

Admissions, Data and Reporting (20%)

  • Develop, implement, and manage the admission process and policies in collaboration with the program director and SM Program.

  • Manage the inflow of application materials. Ensure applicant information is maintained with a high degree of confidentiality and accuracy. Investigate and resolve issues as they are brought to attention and ensure applicants receive timely communications regarding materials received.

  • Support admissions, recruiting, and marketing communications activities through Salesforce by building and managing email templates, event landing and registration pages, automated workflows, and standard reports.

  • Monitor program websites and make updates as needed to ensure information remains current and accurate.

  • Produce and update program marketing collateral, including class profiles and program overview materials.

  • Conduct research and benchmarking for special projects, as needed.

  • Oversee the rolling admissions application review process. The planning and execution of the process requires establishing deadlines, scheduling review meetings, timely communications, and organization of materials for the MS ENTRE Application Review Committee and SM Program Review.

  • Read, score, and evaluate applications across all SM Programs.

  • Coordinate and conduct online interviews with Director for MS ENTRE applicants.

  • Track candidates as they move through the evaluation, interview, and decision process. Monitor the waitlist, providing updates to and responding to questions from candidates until they receive final decisions.

  • Communicate admission decisions to applicants and convey decisions in the Graduate School27s System and internal CRM system.

  • Identify and support special projects and other duties as needed in support of the programs.

Academic support, On boarding and events (5%)

  • Develop, design, and manage the admitted student onboarding process from acceptance through arrival on campus including, but not limited to communication plans and admitted student events.

  • Plan and execute the MS ENTRE new student orientation at the beginning of the program in collaboration with the Director, SM Program staff, and Faculty Director.

  • Participate in the execution of new student onboarding and orientation activities and events for other SM programs as needed.

  • Support students with their transition into a professional graduate program by helping them resolve challenges and connect them to campus resources.

  • Assist in coordinating events and day-of staffing for Graduation, Dawg Dash celebration, and other Specialty Masters27 events.

  • Support team administrative processes (e.g. course registration, tuition posting, course scheduling, etc.) where needed.

Academic Services and Alumni Relations (10%)

  • Ongoing academic services, including informal advising, and making introductions for students with connections in the Seattle Entrepreneurial community.

  • Attend workshops, Startup Walks, mentor events, and student events as needed.

  • Work with Director and Foster alumni team to create an alumni calendar and engagement plan, focusing on orientation and mentoring activities, as well as general communication.

  • Develop ways to engage alumni in program activities and UW initiatives.

  • Create and maintain tracking system for alumni.

  • Develop and administer an annual alumni survey to follow MS ENTRE alumni careers over time.

Administration and Budget (10%)

  • Participate in organizational meetings with the SM Program and Director, providing strategic input on operational aspects of the program.

  • Act as liaison with the UW Graduate School to ensure UW and Foster School policies and procedures are followed.

  • Manage program budgets for recruitment and admissions activities, including all events, supplies, marketing campaigns, Class Visit and Ambassador programs, etc.

  • Evaluate and report on the performance and effectiveness of recruiting and admissions strategies quarterly and annually.

  • Manage student employee supporting events, recruiting, marketing, and admissions activities of the program.

  • Conduct research and benchmarking for special projects, as needed.

  • Perform additional responsibilities as assigned.
