Purpose of the Role
The Property & Administration Supervisor is responsible for the oversight of facilities management, administrative operations, and asset coordination across Payukotayno's multiple office locations. This role supervises staff in maintenance, reception, records, procurement, and general administration, ensuring safe, accessible, and culturally responsive workspaces that support frontline service delivery.

The Supervisor plays a key role in aligning day-to-day operations with health and safety standards, capital management requirements, and community-based service expectations across Treaty 9 territory.

Core Responsibilities

1. Facilities and Property Oversight
  • Supervise maintenance, custodial, and grounds staff at all agency sites
  • Oversee building upkeep, repairs, health and safety protocols, and contractor coordination
  • Track lease agreements, building inspections, and asset inventories

2. Administrative Services Leadership
  • Manage reception, courier, supplies, room bookings, and administrative processes
  • Supervise Imaging & Records Clerks and Administrative Assistants
  • Ensure consistency in forms, records, signage, and front-line support across offices

3. Procurement and Inventory Management
  • Oversee purchasing of office supplies, furnishings, equipment, and maintenance materials
  • Ensure procurement complies with agency policy, funder rules, and value-for-money principles
  • Maintain inventory systems and support lifecycle planning for major assets

4. Safety, Accessibility, and Compliance
  • Coordinate routine and emergency building safety checks, fire inspections, and accessibility audits
  • Ensure compliance with occupational health and safety standards and AODA requirements
  • Support staff in creating safe, welcoming, and culturally relevant office environments

5. Team Supervision and Staff Development
  • Provide daily supervision, coaching, and performance feedback to administrative and facilities staff
  • Develop schedules, assign tasks, and monitor workload and service quality
  • Support onboarding, training, and development in facilities, records, and admin functions

6. Planning, Budgeting, and Operational Support
  • Assist the Director of Finance and Administration with budgeting, project planning, and contract monitoring
  • Participate in space planning, office relocations, and emergency response coordination
  • Prepare internal reports on facility status, project updates, and admin service metrics

Required Qualifications and Experience
  • Diploma or degree in Business Administration, Facilities Management, or a related field (or equivalent lived/professional experience)
  • Minimum 4 years of relevant experience in facilities, administration, or operations management
  • Supervisory experience in a multi-site organization considered a strong asset
  • Knowledge of safety regulations, procurement practices, and building service systems
  • Strong interpersonal, problem-solving, and organizational skills

Conditions of Employment

  • Ability to travel between sites and manage occasional after-hours facility issues
