Project Manager - Pharmacy Regulatory Compliance

Position Overview

CereCore is seeking a Project Manager to support the Pharmacy Regulatory Compliance initiatives within HCA, with a primary focus on coordinating regulatory-driven activities, tracking deliverables, and ensuring timely communication across Pharmacy, Data, Clinical, and Build teams. This role will be responsible for end-to-end project coordination, artifact management, and stakeholder communication to support compliance-related pharmacy workflows within the EHR environment.

The Project Manager will serve as a central point of coordination, ensuring schedules, documentation, communications, and dependencies across teams are effectively managed and executed.

Responsibilities
  • Develop and maintain project charters and detailed project plans to support Pharmacy Regulatory Compliance initiatives.
  • Manage project schedules, task assignments, milestones, and dependencies across multiple internal teams.
  • Monitor project risks, issues, and decisions; escalate as needed to ensure timely resolution.
  • Provide consistent and accurate status reporting to key stakeholders and leadership.
  • Manage key communication points across Pharmacy, Data, Clinical Specialty, Build, and CDM application teams.
  • Maintain and manage project artifacts and documentation repositories, including SharePoint sites and shared folders.
  • Coordinate internal review communications, including tracking review emails and follow-ups.
  • Track facility correction communications and ensure timely responses and resolution.
  • Create and manage SharePoint folder structures for facility reports, including:
    • Adding appropriate users and permissions
    • Sending summary and completion communications
    • Tracking file submissions and completion status
  • Distribute project-related files and track facility-level completion and acknowledgements.
  • Coordinate pharmacy inactivation communications with chargemaster managers and follow up to completion.
  • Track linkage numbers and ensure required actions are completed and documented.
  • Maintain awareness of timelines and deliverables owned by other teams to ensure alignment and dependency management.
  • Coordinate initial file distribution and IDM mapping activities, including shared calendars and OneNote documentation.
  • Manage shared calendars for Pharmacy and Data teams, ensuring milestones and key dates are kept current.
  • Initiate and manage standardized pharmacy communications, including:
    • Pharmacy standardization emails to the CDM application team
    • Cascade communications to downstream stakeholders
  • Maintain and update project process documentation.
  • Coordinate and manage recurring meetings for IDM, Build Team, and Clinical Specialty teams, including agendas, notes, and follow-ups.

Qualifications & Experience
  • 3+ years of healthcare project management experience required.
  • Experience supporting EHR-related initiatives, regulatory compliance, or pharmacy-focused projects preferred.
  • PMO experience strongly preferred.
  • Proven ability to manage complex schedules, documentation, and cross-functional coordination.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Visio, SharePoint, OneNote, and Teams.
  • Excellent written and verbal communication skills, with the ability to manage high-volume stakeholder communications.
  • Ability to adapt to shifting priorities in a fast-paced, deadline-driven environment.
  • Professional, service-oriented approach with strong accountability and ownership.

Education
  • Bachelor's degree required.
  • Project Management certifications (PMP, Lean Six Sigma, or similar) preferred.
