Job Profile Summary

This role focuses on managing operational aspects of ongoing projects from initiation through completion and serves as liaison between project management and planning, project team, and line management. In addition, this role focuses on performing the following Administration Project Management duties: Serves as a liaison between the general project management office and the team members engaging in planning, reviews the status of projects and budgets, manages schedules, prepares status reports, and assesses project issues and develops resolutions to meet productivity, quality, and client-satisfaction. A professional individual contributor role that may direct the work of other lower level professionals or manage processes and programs. The majority of time is spent overseeing the design, implementation or delivery of processes, programs and policies using specialized knowledge and skills typically acquired through advanced education. A senior level role that requires advanced knowledge of job area typically obtained through advanced education and work experience. Typically responsible for: managing projects / processes, working independently with limited supervision, coaching and reviewing the work of lower level professionals, resolving difficult and sometimes complex problems.

Job Overview

This position is responsible for planning, tracking, managing, and finalizing complex project(s) according to strict deadlines and within budget. Primary responsibilities include initial assessment of scope, effort and resources, writing project charters, facilitating project initiation meetings, detailed project planning, managing execution of project tasks, monitoring progress and timelines, and project status and other communication. Serves as point person for ongoing support, troubleshooting issues, questions, or concerns. Collaborates with cross-functional teams and is responsible for delivering defined project outputs to time, budget and project quality criteria. Ensures information flows smoothly between the project teams, relevant steering committees or advisory boards, and leadership. Prepares written, verbal, and visual communications regarding timelines, progress reports, and identifies risks/issues.

Minimum Qualifications:

1. Bachelor's degree.

2. Three (3) years of experience in a project management role.

1. Project Management certification, PMP, or equivalent.

1. Oversees a portfolio of complex projects, ensuring alignment with organizational goals and strategies.

2. Develops comprehensive project plans for each project, considering objectives, scope, deliverables, timelines, and resource requirements.

3. Allocates resources, including personnel, equipment, and materials, across multiple complex projects.

4. Identifies, assesses, and manages risks and issues across complex projects. Develops risk mitigation strategies and contingency plans.

5. Identifies and engages stakeholders at various levels of the organization and external partners.

6. Develops strong relationships, manages expectations, and communicates project progress, risks, and issues effectively.

7. Develops and manages project budgets for complex projects.

8. Regularly reviews financial reports and implements cost-saving measures where applicable.

9. Establishes and enforces quality standards and processes for complex projects.

10. Assesses change requests, evaluates their impact on project scope, timelines, and resources.

11. Communicates changes to stakeholders, obtains approvals, and ensures proper implementation.

12. Develops and delivers clear and concise project communications to stakeholders, including project status reports, progress updates, and milestone achievements.

13. Leads and motivates project teams by providing guidance, support, and fostering a collaborative work environment.

14. Encourages knowledge sharing, promotes cross-functional collaboration, and resolves conflicts as they arise.

15. Ensures compliance with organizational policies, standards, and industry regulations.

16. Establishes project governance frameworks and ensures adherence to project management methodologies.

17. May oversee vendor selection and contract negotiation.

18. Fosters a culture of continuous improvement within the project management practice.

19. Conducts lessons learned sessions, captures best practices, and implements process enhancements to optimize project delivery.

20. Identifies and manages project escalations, resolving critical issues and conflicts that may impact project timelines, scope, or stakeholder satisfaction.

21. Collaborates with senior management and/or stakeholders to address project challenges and seek timely resolutions.

22. Provides guidance and mentorship to junior project managers and project team members.

23. Prioritizes projects based on their strategic value, resource availability, and interdependencies.

24. Supports their professional development, fosters skill growth, and promotes knowledge transfer within the project management team.

25. Monitors vendor performance, manages contracts, and resolves any vendor-related issues or disputes.

26. Facilitates effective communication channels across project teams and stakeholders.

27. Monitors project deliverables to ensure they meet the defined quality criteria.

28. Conducts regular quality assessments and implements corrective actions as needed.

29. Optimizes resource utilization to ensure project success while managing conflicts and competing demands.

30. Executes projects in accordance with established plans, managing changes and adapting as necessary.

31. Monitors and updates risk registers, proactively addressing potential obstacles to project success.

32. Monitors and controls project expenses, ensuring adherence to financial constraints.

Physical Requirements:

1. Requires ability to see computer screen and reports.

2. Frequent sitting, occasional standing & walking, and lifting of 5-10 lbs.

3. Requires manual dexterity using fine hand manipulation to operate computer keyboard.
