SUMMARY

The Project Manager is accountable for the ownership of the end-to-end delivery of typically moderate complexity projects with modest visibility and risk/exposure.

This role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to operating buildings.

KEY DUTIES & RESPONSIBILITIES

Safety Ownership and Regulatory Compliance:

  • Comply with all internal and external requirements including but not limited to environmental, health and safety, fire protection and mandated byBGIS Health Safety and Environment Teams and enforced by law.


Project Management and PMI Methodology

  • Accountable for the ownership of the end-to-end delivery of typical moderate to high complexity projects with great visibility and risk/exposure


  • Will follow the BGIS Standardized Methodology that include key Stage Gates for reviews and approvals


  • Ensures projects are delivered on time, within scope, budget and requirements, and complies with all regulatory, environmental and health and safety requirements.


  • Responsible to understand project details and participate in appropriate project detail reviews to provide project status and risk assessment


  • In collaboration with project contributors which include Client end users, Operations and technical services, Consultants, Contractors, etc defines project scope, deliverables and requirements.


  • Secure agreement and approval of all scope adjustments


  • Determines resource and budget requirements, cost estimates, schedules and timelines.


  • Identifies project risks and develops and implements mitigation and contingency plans.


  • Monitors project delivery against timelines and ensures timely completion.


Integration / Collaboration with Operations and Other Groups

  • Work in Collaboration with Key BGIS Account Team Members - Health and Safety, Environment, Capital / Asset Planning, Operations and technical services, Energy Management, Heritage, Workplace etc to ensure review of project scope and alignment to key requirements in these departments.


Financial and Project Budget Management

  • Manage all elements of project forecasting and cashflows that are accurate with key project activities


  • Review of Future Forecast to ensure sufficient commitments are included to meet project spend targets


  • Ensure data is entered in the system in a timely manner to ensure accurate and up to date weekly reporting - internally with BGIS and client as required


  • Responsible for managing contingency spend and following appropriate client approvals for matching budgets to Project Charters


  • Manage all Charter updates to reflect any budget, scope or schedule adjustments


  • Oversee all Change Orders to ensure accuracy, fiscal management and appropriate approvals


  • Monitor and meet all client directed spend targets to meet capital requirements


Accurate Invoicing and PO Management

  • Accountable to oversee and ensure accurate and timely Billing of project activities that align to client approved processes


  • Management of PO details to ensure all appropriate approvals for project related billing - including fees


  • Ensure appropriate due diligence review and timely approval of supplier applications for payments/invoices


Proactive Communication / Updates / Escalation

  • Responsible for providing ongoing regular updates on the project that are accurate and reflective of key activities


  • Escalating key risks proactively to BGIS leaders and contributors to manage and plan for mitigation


  • Monitor and provide ongoing status on PO approvals to ensure no delays in the system


  • Communicate any KPI risks to key Account Governance Leaders


  • Ensure effective communication plan of all project contributions is in place as part of the Project Kick Off Meeting


  • Follow all Project Methodology Communication Protocols that include Kick off Meetings using BGIS standardized forms to include = Agenda, Minute Templates


Project Performance, Approvals, Reporting and Data Integrity

  • Responsible for the full adoption of BGIS PM Technology, Dashboards and Reports as the centralized data warehouse for all project information


  • Ensure all project documents / approvals are complete within the system and are reviewed for completeness and accuracy


  • Review and use key dashboards (PM System and/or BI) regularly (daily, weekly as required) as per BGIS protocols to monitor project performance and adhere to outlined MSA Key Performance Indicators


  • Work in collaboration with Project Admin to prepare status reports as required for client and BGIS updates on Project Health


Procurement / Vendor Management / Contract Administration

  • Ensure the use of procurement tools and technology and adherence to BGIS and client procurement policies and procedures


  • Ensure supplier contracts and required supporting documents and instruments are accurate, complete, and appropriately maintained in BGIS systems


  • Participate in vendor management activities and assessments


Site Visibility As Required

  • Ensure appropriate site visitation schedule and attend key site for major / critical projects as required


  • Hold key construction / contractor meetings on site when possible to ensure effective management


  • Inspect Site conditions and ensure adherence to H&S protocols


Deficiency and Project Technical and Financial Close Out Management

  • Responsible for the management of all deficiency walk through and identification followed by deficiency correction to meet specific schedule deadlines


  • Follow all Technical and Financial Close out Protocols and Checklists to avoid any close out backlog as per list KPI and ensure key activities are complete to align with Client budgets and BGIS Performance Scorecards.


Emergency Projects from Operations to Project Management

  • Depending on Complexity of Emergency Project - work in collaboration with Operations to take on all project related activities


  • Responsible for leading transfer of knowledge meeting (FM to PM)


  • Ensure effective ongoing communication with Operational Contributors to provide regular project status updates to clients


Project Handover to Operations

  • Responsible for the collection and handover of project closeout documents (CMMS, Environmental reports Warranty packages, manuals, as builts, permits), Minute Templates


Client Relationship Management

  • Develops and maintains effective relationships with clients.


  • Responsible for resolving issues, managing client expectations, and ensuring client satisfaction.


  • Other duties as assigned.


KNOWLEDGE & SKILLS

  • Community college diploma in architectural technology, construction technology, engineering technology; required


  • University degree in Architecture or Engineering, preferred


  • 3 to 5 years of project management work experience


  • Project management - proven ability and experience in delivering projects on-time, on-budget, within specifications and in-compliant with all requirements including but not limited to regulatory, environmental, health, and safety requirements.


  • Project Budget management - proven ability and experience in developing and managing budgets.


  • Project risk mitigation and management - proven ability and experience in mitigating and managing project risks.


  • Communication - strong communication, influence, persuasion, and negotiation skills.


  • Relationship building - proven ability and experience in building and maintaining effective relationships


  • Client management - proven ability and experience in managing client relationships and expectations


  • Client service orientation - strong client service orientation


  • Project team leadership - proven ability and experience in project team leadership


  • Vendor management - proven ability and experience in managing vendor performance


  • Quality - possesses a continuous improvement and quality mindset along with a desire to continuously seek and incorporate best practices and technologies in order to optimize program delivery and deliver value to the client


  • Computer proficiency - proficient in and experience with MS Office suite of applications along with proven ability to quickly learn new applications


Licenses and/or Professional Accreditation

One or more of the following would be considered an asset:

  • Project Management Institute Accreditation or in progress.


  • LEED certification or in progress


  • Engineer in training


This is a regular, full-time position with a salary range of $77,259 - $96, 573 per annum. The starting salary will be based on the successful candidate's competencies, including but not limited to experience, education and performance related to this role.
