Position Summary

Thales has a vacancy for a Project Management Office (PMO) Specialist who will be responsible for supporting project delivery through effective coordination, data management, documentation, and process standardization. This role contributes to the development of consistent practices, maintains accurate project information, and supports stakeholders across multiple initiatives.

Working in a fast-paced environment, the PMO Specialist ensures the smooth execution of activities by supporting planning, documentation, communication, and continuous improvement.

Regulatory Compliance Requirement

This position requires direct or indirect access to hardware, software or technical information controlled under the Canadian Export Control List and/or the US the Export Administration Regulations (EAR). All applicants must be eligible or able to obtain authorization for such access.

Key Areas of Responsibility

Under the direction and support of the Procurement Manager and PMO Manager Lead, the PMO Specialist will be responsible for:

Collection of Procurement Data:

  • Collecting and maintaining accurate supplier information (contacts, details, etc.), to support Electronic Acquisition onboarding processes.
  • Supporting the preparation of documents required for NDAs, Non-Competes, and Terms & Conditions.
  • Compiling and packaging relevant information for work packages to be sent to the Shared Services Center.


Non-Competes Management

  • Gathering and vetting non-compete forms, ensuring quality and completeness of data.
  • Working directly with internal requestors to ensure accurate and timely submission of non-compete requests.
  • Addressing the current backlog of non-competes, while managing new requests.


Process Mapping & Standards Development

  • Developing standard Procurement Vetting templates for strategic procurement elements.
  • Developing standardized documentation and presentation templates to support strategic planning, budgeting, and category management activities across procurement functions.
  • Contributing to internal procurement process mapping in-line with Chorus standards, ensuring all stakeholders have a clear, consistent view of end-to-end processes; and
  • As required, provide project coordination support, including oversight of planning, execution, stakeholder communication, progress monitoring, issue resolution, and maintenance of project documentation to ensure successful delivery of project objectives.


Minimum Qualifications

Bachelor's degree or college diploma in Business Administration, Project Management, Procurement, or a related technical field.

- Minimum of five years of demonstrated experience in the last ten years in a similar role.

- Strong organizational skills and ability to balance multiple priorities.

- Ability to work independently with minimal supervision.

- Ability to manage and control project records and documentation.

- Proficiency in using Microsoft Word, Excel, SharePoint, PowerPoint and JIRA.

- Familiarity with Enterprise Resource Planning (ERP) tools such as SAP is an asset.
  • All applicants must be able to obtain a Canadian NATO Secret clearance and meet the eligibility requirements outlined in the Canadian Controlled Goods Registration Program.


Preferred Qualifications

  • Detailed knowledge and understanding of the Defence Sector.
  • Strategic procurement and contracting capabilities.
  • APICS, CPSM


Special Position Requirements

Schedule: 40 hours per week / 5 day per week.

Physical Environment: Hybrid role - Onsite and remote working.

Travel: Minimal travel required.

The reference Total Target Compensation(TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between Total Target Cash 60,000.00 - 110,000 CDN Annual.
