Job Description

The Project Engineer provides construction administration, document control, and project coordination support to the Project Managers, Supervisor, and Senior Director. This role is responsible for coordinating HCAI regulatory
documentation, construction document processing, consultant coordination, meeting administration, invoice and pay application routing, and maintaining complete project records from initiation through closeout.

The position serves as a critical administrative resource for multiple concurrent projects by managing document control systems, maintaining accurate logs, routing approvals, supporting contract and financial documentation,
and facilitating timely communication among internal stakeholders, consultants, contractors, inspectors, and regulatory agencies.

Required Skills

Strong organizational and document-control skills with the ability to establish, maintain, and improve filing systems, logs, trackers, and project workflows.

Working knowledge of healthcare construction administration.

HCAI regulatory documentation, including processing, tracking, and maintaining project records to ensure compliance throughout the project lifecycle.

Ability to coordinate effectively with Project Managers, architects, engineers, consultants, contractors, vendors, HCAI Staff, Inspectors of Record (IOR), Contractors of Record (COR), owners, and internal departments.

Ability to read and interpret construction drawings, specifications, and project documentation preferred.

Strong attention to detail in tracking approvals, document versions, invoice support, and financial backup documentation.

Construction document control (submittals, RFI's, ASI's, NMA/ACD/DSI logs, permits, closeout documents).

Invoice, purchase order and pay application support.

Meeting coordination, consultant coordination, and project communication tracking

Project setup, status reporting, and closeout administration.

Required Experience

Experience in project coordination, construction administration, facilities project support, document control or a closely related administrative role.

Experience supporting hospital, healthcare, or regulated construction/facilities projects.

Experience with HCAI/OSHPD documentation, eServices Portal processes, or California healthcare construction compliance workflows.

Experience with construction administration processes including submittals, RFIs, change orders, pay applications, closeout, and consultant coordination.

Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and project/document platforms such as SharePoint, Smartsheet, Bluebeam, Procore or similar systems
