Onsite Requirement: Position is 100% onsite at the Pentagon

Clearance: Active Secret clearance required

Sherpa 6 has an exciting opportunity for a fast-learning and highly driven Project Coordinator to join our team. We are seeking a highly organized PMO Administrative Support Specialist at the Pentagon in Washington, DC. This position provides critical administrative and operational support functions. The role requires meticulous attention to detail, initiative, and the ability to manage multiple concurrent administrative workflows in a fast-paced Department of War (DOW) environment.

Personnel Onboarding and Offboarding
  • Manage the end-to-end onboarding process for new engagement personnel, including maintaining the project personnel roster, sharing initial trainings and NDAs, and providing access to project materials
  • Execute offboarding procedures including access revocation, equipment turn-in, coordinating security debriefs, exit documentation, and roster updates
  • Maintain accountability of approximately 500 personnel within the DOW engagement

Security and Access Management
  • Coordinate Common Access Card (CAC) issuance, renewal, and recovery for engagement personnel
  • Coordinate security clearances for applicable engagement personnel
  • Track and manage facility access requests for Pentagon and supporting DOW locations
  • Maintain Non-Disclosure Agreement (NDA) tracking and compliance records for all program participants

Training and Compliance Tracking
  • Monitor, track, and report mandatory training completion status for all engagement personnel
  • Maintain training records database and generate compliance reports for leadership
  • Coordinate scheduling of required training events and certifications
  • Ensure personnel maintain current status on all mandatory DOW and program-specific training requirements

Data Management and Reporting
  • Maintain and update Smartsheet rosters, personnel databases, and organizational charts
  • Generate routine and ad hoc reports on personnel status, training compliance, and administrative metrics
  • Support accurate personnel data inputs for skills-to-problem alignment and dynamic resource allocation tracking
  • Manage document control and version management for PMO administrative artifacts

General PMO Administrative Support
  • Provide day-to-day administrative support to the PMO leadership team
  • Coordinate meeting logistics, scheduling, and calendar management for PMO events
  • Manage correspondence, task tracking, and action item follow-up
  • Maintain organized filing systems (physical and digital) for program documentation
  • Support travel coordination and expense processing as required
  • Serve as a liaison between A&M PMO leadership and Sherpa 6 corporate support functions (HR, Security, Contracts)

Salary Range

The proposed salary range is reflective across all Sherpa 6 locations, years of experience, and skill levels. Salary negotiations will be based on a host of factors including but not limited to your geographic location, prior experience, relevant skills, education, and certifications.
