Project Coordinator / Inside Sales
Rasmussen Mechanical Services | Denver, CO | Full-Time
We9re looking for a Project Coordinator / Inside Sales to join our Denver team.
The Role
You9ll be the person who keeps our Denver projects organized from the first quote through final close-out. Working alongside our location manager, you9ll build estimates and proposals, handle the procurement and paperwork that keep jobs moving, and stay in front of customers from the initial request to the final invoice.
This is an office-based role. Your work happens at the desk, and it9s what makes everything else on our Denver team run smoothly.
What you9ll own:
• Preparing takeoffs, estimates, and proposals from drawings, field notes, and vendor pricing
• Requesting and comparing pricing from equipment vendors and manufacturer reps
• Building ROI and payback numbers when it helps a customer say yes
• Issuing purchase orders and tracking equipment, materials, and submittals through delivery
• Tracking project budgets and job costs, and flagging variances to the location manager
• Preparing and processing change orders
• Supporting close-out O&M manuals, warranties, as-builts, and final billing
• Following up on open quotes and keeping customers updated on project status
• Keeping job files, the CRM, and project tracking accurate and current
What You Bring
• 2 3 years in a coordination, inside sales, estimating support, purchasing, or project administration role in construction, HVAC, mechanical, or distribution background preferred
• Some exposure to takeoffs, estimating, or reading mechanical drawings and specs
• Comfort tracking budgets, purchase orders, and change orders accurately
• Strong organizational skills and the ability to juggle several jobs at once without losing track of details
• Confidence on the phone and over email with customers and vendors
• Solid Excel skills and a willingness to learn new software
• Clear, professional written communication
• High school diploma or equivalent technical coursework or an associate9s degree is a plus, not a requirement
If you9ve been doing this work at a mechanical or specialty contractor and want more ownership than your current seat gives you, we9d like to talk.
Nice to Have (Not Required)
• Experience at a mechanical contractor, supply house, distributor, or manufacturer rep
• Familiarity with HVAC, boiler, controls, or piping terminology
• Experience with Procore, ServiceTitan, or similar project and service software
• Exposure to job costing or WIP reporting
Where This Role Can Go
This is a starting point, not a dead end. Our location managers, directors, and project leaders mostly came up through RMS. If you want to grow into estimating or project management, we9ll teach you and with ten specialized departments under one roof, there9s a lot to learn from.
Compensation & Benefits
Base pay range: $85,000 $100,000 annually, depending on experience.
Benefits include medical, dental, and vision coverage; 401(k) with company match; paid time off and paid holidays; and eligibility for our annual discretionary bonus program.
Applications will be accepted on an ongoing basis until the position is filled.
