Full Job Description
EthosEnergy is seeking a Project Controls Specialist to support our Houston South Sam office in a hybrid work environment. This role serves as a key link between Project Management, Operations, Commercial, Finance, Supply Chain, and Billing teams, ensuring projects are set up accurately, costs are controlled, financial data is maintained, and invoicing and reporting are completed on time. Responsibilities include project setup, budget administration, cost tracking, forecasting support, inventory coordination, invoicing, and financial reporting while ensuring compliance with company policies and controls. The ideal candidate is highly analytical, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Qualifications require a minimum (3)- years of experience in Project Controls, Project Coordination, Project Administration, Finance, Operations, or a related field. Experience supporting engineering, manufacturing, industrial services, energy, EPC, or field service organizations preferred.

Salary: $70,000-$110,000, commensurate with experience and qualifications.

Job Responsibilities

  • Create and maintain customer-facing project/job orders within ERP systems (Microsoft Dynamics NAV) and associated business systems.
  • Review project turnovers from Sales and Project Management to ensure complete and accurate project setup.
  • Establish project budgets including revenue, cost, planning lines, and billing structures.
  • Maintain project financial data throughout execution, including budget revisions, schedule updates, cost updates, revenue adjustments, and change management.
  • Support project forecasting by monitoring margins, open purchase orders, committed costs, and overall project financial performance.
  • Perform weekly reviews of Long-Term Service Agreement (LTSA) projects to ensure budgets accurately reflect current contract margins and financial performance.
  • Coordinate project financial updates with Project Managers during regular project reviews.
  • Support revenue recognition activities and month-end financial close.
  • Prepare and process draft invoices while ensuring planning lines and billing data accurately support customer invoicing.
  • Review and process vendor invoices through Esker in accordance with approval requirements.
  • Coordinate inventory-related transactions including inventory movements, production orders, asset transfers, reservations, inventory adjustments, and material allocations.
  • Generate and analyze project control reports including project variance, forecasting, cost, and revenue reports.
  • Identify missing project information and coordinate resolution with internal stakeholders.
  • Support creation of new customer records and ship-to information within ERP systems.
  • Partner with Project Management, Commercial, Finance, Supply Chain, Billing, and Operations to resolve project issues.
  • Maintain documentation, reporting, and project records in accordance with company policies.
  • Participate in continuous improvement initiatives to standardize project controls processes across the organization.
  • Provide cross-functional support and backup coverage for other Project Controls responsibilities as needed.

Required Skills / Knowledge

  • Strong understanding of project financial controls and project lifecycle management.
  • Knowledge of budgeting, forecasting, cost tracking, and revenue recognition principles.
  • Experience working with ERP systems (Microsoft Dynamics NAV, Business Central, SAP, Oracle, or similar).
  • Ability to analyze financial information and identify discrepancies.
  • Strong organizational and prioritization skills with the ability to manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • High attention to detail with strong problem-solving abilities.
  • Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, filtering, and financial reporting.
  • Experience working across multiple functional teams.
  • Ability to interpret project documentation, contracts, and customer requirements.
  • Knowledge of project management principles is preferred.

Experience

  • Minimum of three (3) years of experience in Project Controls, Project Coordination, Project Administration, Finance, Operations, or a related business function.
  • Experience supporting engineering, manufacturing, industrial services, energy, EPC, or field service organizations preferred.
  • Experience with ERP systems and project financial reporting strongly preferred.
  • Experience supporting multiple concurrent projects in a fast-paced environment preferred.

Education Requirements

  • Associate's degree in Business Administration, Finance, Accounting, Project Management, Supply Chain, Engineering Technology, or a related discipline required.
  • Bachelor's degree preferred.
  • Equivalent combinations of education and relevant experience may be considered.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Frequent use of a computer, keyboard, and telephone.
  • Ability to occasionally lift up to 20 pounds.
  • Ability to travel occasionally for training or business meetings, if required.
  • Must be able to communicate effectively in person, by telephone, and through electronic communication.
