Job Summary

This role provides Project Administration support to the Advanced Programs Office. With general supervision, this position is responsible for the administration of operational aspects for one or more projects within Advanced Programs.

This position ensures successful daily operation for the assigned project portfolio(s). Typical activities include management of project rosters and access, creation of reports, and creation/sustainment of SharePoint sites for multiple Advanced Programs projects.

The position will receive direction from Program Managers and Project Managers. With guidance, the position may interface with other functions within the company including facilities, IT, and security. The position may assist Program and Project managers in the preparation and delivery of deliverables, as well as organize and coordinate hosting of government stakeholders and customers.

DUTIES AND RESPONSIBILITIES:
  • Administers daily operational aspects of one or more ongoing projects; participates in project plan development.
  • Integrates and analyzes project plans to ensure milestones and delivery requirements are met; ensures that all the key parties are advised.
  • Participates in problem solving with project managers, line managers, and clients.
  • Develops appropriate electronic and hard copy reports and records.
  • May represent the organization with outside organizations.
  • Provides direction to support staff and may provide direction to less experienced professional staff.
  • Maintains the strict confidentiality of sensitive information.
  • Performs other duties as assigned.
  • Responsible for observing all laws, regulations and other applicable obligations wherever and whenever business is conducted on behalf of the Company.

Job Qualifications

  • Typically requires a bachelors degree in Business Administration or a related discipline and six or more years of progressive professional project administration experience. Equivalent professional experience may be substituted in lieu of education.
  • Must demonstrate a general understanding of project administration principles, theories, concepts and techniques.
  • Must have experience organizing, planning, scheduling, conducting, and coordinating work assignments to meet project milestones or established completion dates.
  • Must possess the ability to understand new concepts quickly and apply them in an evolving environment while contributing to the development of new processes.
  • Must be customer focused and possess:
    • the ability to identify issues, analyze data and develop solutions to a variety of problems
    • good analytical, verbal and written communication skills to accurately document, report, and present findings
    • good interpersonal skills enabling an effective interface with other professionals
    • good computer skills.
    • Ability to work independently or in a team environment is essential as is the ability to work extended hours as required.
    • Ability to obtain and maintain a DoD security clearance is required
Desired skills include:
  • Experience supporting the successful daily execution and maintaining cohesion of a department or team through strong written and verbal communication
  • Motivated individual able to quickly understand and prioritize tasks from multiple stakeholders
  • Experience with Microsoft SharePoint
  • Experience with Microsoft Office products (Excel, PowerPoint, Word)
  • Experience compiling high quality digital and physical reports and artifacts to comply with formatting and content requirements
  • Experience coordinating events or large meetings across multiple organizations
