The Opportunity:

The Program Support Specialist will assist the Program Management Office (PMO) with daily program activities, helping maintain smooth operational workflows, and provides administrative, coordination, and early technical support. This role requires adaptability, basic problem-solving skills, attention to detail, and the ability to complete tasks with general guidance in a fast-paced environment. The ideal candidate should have strong verbal and written communication abilities and show initiative when handling routine and ad-hoc assignments.

Responsibilities:

  • Assist in planning and organizing PMO meetings and taskings by preparing agendas, compiling materials, coordinating logistics, and routing items requiring PMO attention, while independently managing routine assignments.

  • Prepare, review, and distribute reports, presentations, meeting minutes, and other PMO documentation to support ongoing program and project activities.

  • Coordinate domestic and international travel arrangements, including itinerary development, booking, and conduct expense report audits to support accurate invoices.

  • Serve as a support point of contact for PMO communications, helping route and clarify technical and programmatic inquiries across internal teams and external stakeholders to maintain effective information flow.

  • Monitor programmatic and technical project activities by maintaining status updates, supporting review cycles, and assisting in the development of briefing packages for leadership and stakeholder discussions.

  • Support inventory management by tracking equipment and materials, monitoring and reconciling discrepancies, and maintaining accurate and timely inventory records.

  • Assist in the Return Merchandise Authorization (RMA) process by preparing and submitting return requests, coordinating with vendors, tracking RMA progress, and ensuring proper documentation and closure.


Qualifications:

Required: 

  • 2+ years of experience in project/program support roles.

  • BA/BS in Business Administration, Project Management, or related field is preferred.  Alternatively, additional four years of direct experience may replace education requirement.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic collaboration tools (SharePoint and Teams).

  • Ability to assess information from multiple sources and develop actionable recommendations.

  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.

  • Solid written and verbal communication skills with attention to detail.

  • Ability to work independently with general guidance and manage routine assignments with minimal oversight.

  • Ability to handle sensitive or confidential information with discretion and professionalism.

Desired:

  • Experience supporting a Program Management Office (PMO) or similar structured project environment.

  • Familiarity with project management concepts, tools, and methodologies (e.g., Gantt charts, status reporting, basic PM terminology).

  • Prior experience with travel coordination, expense reporting, or invoice audit processes.

  • Exposure to inventory systems, procurement workflows, or supply chain support.

  • Basic understanding of technical environments, engineering workflows, or production/support operations.
