Job Summary
The Mass General Brigham (MGB) Center for Health Outcomes and Interdisciplinary Research (CHOIR) within the Department of Psychiatry is seeking a program manager to report the Director, Ana-Maria Vranceanu and the Administrative Manager of Research. CHOIR is an interdisciplinary clinical research center with a longstanding commitment to: 1) the development, testing and implementation of behavioral interventions for patients, caregivers and dyads in both hospital and community settings, and 2) training the next generation of interdisciplinary behavioral health researchers. CHOIR is an established center with multiple NIH funded clinical trials, and a strong focus on education and training through: 1) internship in Clinical Psychology; 2) a T32 postdoctoral fellowship; 3) a P30 Roybal Center for Dyadic Intervention; 4) a P30 Resource Center for Minority Aging Research and 5) an R25 project to provide behavioral health training interdisciplinary investigators.

The Program Manager will be responsible for co-managing these 5 -educational initiatives. Task includes: 1) working with the Principal Investigators to refine curricula; 2) support with fellow or trainee recruitment; 3) onboarding fellows or trainees; 4) developing and updating websites; 5) managing budgets, institutional review board applications and progress reports; 6) organizing scholar or trainee events, as well as executive board meetings; 7) developing and maintaining organizational processes; 8) developing and maintaining evaluation processes for the programs in collaborations with a statistician; 9) developing presentations; 10) assisting with grant submissions for renewal or other educational initiatives. Opportunities to contribute to manuscripts are available for the interested candidate. The position involves working with trainees, faculty and administrative staff and interacting with departmental leadership and other key hospital personnel.

The ideal candidate is passionate about education, mentorship, and workforce development and has demonstrated success planning, implementing, and managing complex educational, research, or clinical programs in an academic healthcare environment. They possess exceptional organizational, project management, and communication skills, with the ability to balance multiple priorities while maintaining attention to detail. The successful candidate will have experience coordinating multidisciplinary teams, developing and implementing educational initiatives, managing NIH-funded or similarly sponsored programs, and ensuring compliance with institutional, federal, and regulatory requirements.

Successful team members are highly collaborative, proactive, and solutions-oriented and have experience managing budgets, preparing grant applications and progress reports, overseeing programs and evaluating them, and developing efficient operational processes. The individual should be comfortable interacting with faculty, trainees, institutional leadership, and external collaborators, and should demonstrate sound judgment, professionalism, and the ability to foster a positive and inclusive learning environment. Experience with clinical research, behavioral health research, or academic training programs is strongly preferred, as is a commitment to advancing the next generation of interdisciplinary investigators.

Principle Duties and Responsibilities

Educational Program Management:
  • Work with center leadership and staff alike to manage large educational and training programs, orchestrating competing priorities, deadlines, and workload.
  • Supervise, coach, and develop junior staff and trainees, including:
  • Provide daily oversight and direction.
  • Meet at least weekly with the research team.
  • Facilitate career development opportunities.
  • Work with the research team to recruit new trainees as needed and facilitate recruitment efforts
  • Meet regularly with leadership to discuss strategic planning, opportunities to enhance operations, and management approaches.
  • Ensure research integrity, including data documentation and data management, by developing best practices, provide ongoing training, and monitoring for adherence.
  • Monitor personnel resource allocations and advise leadership on factors affecting delivery of milestones.

Administrative Management:
  • Coordinate all administrative aspects of educational programs.
  • Plan for and meet project goals, deliverables, tasks, timeline, and research team.
  • Throughout project duration, plan, track, and report on project tasks, responsible parties, timelines, etc.
  • Delegate project tasks among project teams
  • Proactively take steps to help others move forward, whether it is planning project-specific meetings, getting people to make decisions, bringing in additional resources, etc.
  • Create and maintain project management platforms and websites
  • Help with submission of federal and foundation grants, as well as progress reports.

  • Develop and implement complex multi-site, multi-year budgets with Center Director and Co-Investigators.
  • Collaborates with grants management to monitor project expenses and projections
  • Completes documentation and submits charges for reimbursement in a timely manner.
