Description We are seeking a highly organized and detail-oriented Program Manager to support the successful delivery of cross-functional programs and projects within Tolling Operations. This role is responsible for coordinating project activities, maintaining plans, tracking progress, and ensuring alignment across teams.
The Program Manager will primarily focus on execution, coordination, and reporting, partnering closely with senior leaders and Sr. Program Managers to deliver initiatives. The ideal candidate has strong project coordination skills, experience with Smartsheet, and a working knowledge of IT systems and business operations.
Responsibilities Program & Project Execution:
- Support planning, execution, and tracking of multiple concurrent projects and programs
- Maintain detailed project plans, timelines, and dependencies using Smartsheet
- Track milestones, deliverables, and risks; escalate issues when needed
- Coordinate cross-functional teams to ensure alignment and timely delivery
- Facilitate routine project meetings, standups, and status reporting
Planning & Documentation:
- Assist in defining project scope, objectives, and deliverables with stakeholders
- Maintain accurate documentation including project plans, status reports, risk logs, and meeting notes
- Ensure centralized and accessible documentation across programs
Risk & Issue Management:
- Identify project risks and issues early and track mitigation actions
- Escalate risks appropriately to Sr. Program Managers or leadership
- Support resolution of dependencies and blockers
Stakeholder Communication:
- Provide regular status updates to stakeholders on project progress
- Ensure clear communication across teams
- Build collaborative relationships across departments
Resource & Work Management:
- Track resource allocations and support coordination across initiatives
- Help prioritize workstreams under guidance from leadership and workstream leads
- Monitor workload and assist in balancing demands
Process & Continuous Improvement:
- Identify opportunities to improve workflows and execution efficiency
- Support implementation of standardized tools and processes (e.g., Smartsheet)
- Contribute to repeatable project management practices
Alignment with Organizational Strategy:
- Understand team and departmental priorities
- Ensure project execution aligns with defined goals
- Focuses on business impact, not just delivery
- Support initiatives that enhance customer and operational outcomes
Typical Qualifications Required:
- 3-6 years of experience in project or program management or coordination roles
- Hands-on experience with Smartsheet
- Understanding of project management methodologies (Agile, Waterfall, hybrid)
- Strong organizational and time management skills
- Ability to manage multiple projects with competing priorities
- Effective communication and stakeholder coordination skills
- Strong attention to detail
Preferred:
- Experience supporting IT or infrastructure-related projects
- Familiarity with SDLC
- Experience with reporting tools and dashboards
- CAPM, PMP, or similar certification
