About the Role
Zen Residential is seeking a Procurement Manager to lead and oversee our centralized procurement function. Reporting to senior leadership, this role is responsible for vendor sourcing, purchasing, contract management, cost control, and procurement governance across the organization.

The successful candidate will be a strategic and analytical leader with strong negotiation skills and a proven ability to deliver measurable cost savings while building strong vendor partnerships.
Key ResponsibilitiesProcurement Leadership
  • Develop and implement procurement strategies that drive operational efficiency and cost savings.
  • Establish and maintain procurement policies, procedures, and governance standards.
  • Review and improve purchasing, budgeting, and vendor management processes.
  • Monitor procurement performance and identify opportunities for continuous improvement.
  • Conduct market research and benchmarking to ensure competitive pricing and service levels.
Vendor Management
  • Source, evaluate, onboard, and manage vendors and service providers.
  • Negotiate contracts, pricing, and service agreements.
  • Develop and maintain a preferred vendor program.
  • Monitor vendor performance and address service or compliance issues.
  • Ensure all vendors meet insurance, licensing, and compliance requirements.
Risk Management and Compliance
  • Identify and mitigate procurement-related risks.
  • Ensure proper approvals, documentation, and controls are in place for all purchasing activities.
  • Maintain procurement records to support audits and financial accountability.
  • Monitor adherence to procurement policies and approval processes.
Capital Projects and Property Operations
  • Support procurement activities related to capital projects, major repairs, renovations, and insurance claims.
  • Coordinate tendering, vendor selection, and contract administration.
  • Ensure procurement activities align with property owner expectations and organizational objectives.
Work Order and Invoice Oversight
  • Ensure work orders are properly approved, scoped, documented, and completed.
  • Verify invoices against approved scopes, contracts, and completed work.
  • Partner with Accounting to support accurate and timely payment processing.
Systems and Administration
  • Manage procurement administration, including purchase orders, vendor onboarding, and documentation.
  • Utilize systems such as Yardi, HappyCo, and VendorPM to improve efficiency and visibility.
  • Maintain accurate procurement records and reporting.
Leadership and Collaboration
  • Provide leadership and support to the Procurement Administrator.
  • Develop scalable procurement processes to support portfolio growth.
  • Prepare and present reports on cost savings, vendor performance, and procurement metrics.
Qualifications
  • Minimum 5 years of progressive procurement, purchasing, or vendor management experience.
  • Experience in residential property management, real estate, multifamily housing, construction, or a related industry is preferred.
  • Demonstrated success negotiating contracts and achieving measurable cost savings.
  • Strong understanding of vendor management, procurement governance, and risk management practices.
  • Experience working with procurement and property management software, including Yardi, is considered an asset.
  • Leadership experience managing employees and developing teams.
  • Post-secondary education in Business Administration, Supply Chain Management, Finance, or a related field is preferred.
  • Excellent communication, negotiation, analytical, and problem-solving skills.
  • Valid driver's licence and reliable transportation required.
