Full Job Description
Waldman Orthodontics is looking for a Practice Manager to join our well-established practice in Beverly Hills, CA. The ideal candidate will have strong leadership experience and a background in healthcare, retail, sales, or a similar service-focused environment.

In this dynamic role, you will lead and inspire a dedicated team while overseeing the people, culture, financial, and operational needs of a fast-paced orthodontic practice. Reporting to the doctor(s), with a dotted line to the Regional Manager, you will be accountable for driving practice performance, leading a high-performing team, and enhancing the overall patient experience.

What You Will Be Doing - Key Responsibilities
  • Lead, inspire, and support a high-performing orthodontic team while fostering a positive, inclusive, collaborative, and respectful work environment.
  • Manage team performance by providing direction, coaching, feedback, and ongoing support, while identifying opportunities for continuous improvement.
  • Attract, onboard, train, develop, and retain team members in partnership with Talent Acquisition and People & Culture.
  • Support payroll processing, timesheets, vacation requests, attendance, and employee benefits administration.
  • Conduct annual performance reviews and provide ongoing feedback and development opportunities.
  • Maintain open and effective communication with the doctors, team, Regional Manager, and internal support teams.
  • Lead morning and afternoon huddles, team meetings, and other communication initiatives to promote teamwork and engagement.
  • Ensure compliance with HIPAA, OSHA, and other applicable regulatory requirements, internal policies, health standards, and safety procedures.
  • Manage the practice budget, operational costs, financial targets, accounts payable and receivable, insurance payments, refunds, and end-of-month reconciliation.
  • Collaborate with the Finance team on monthly financial statements and the annual budgeting process.
  • Support bookkeeping, invoice submissions, timesheets, and other administrative processes.
  • Oversee all aspects of practice operations, including scheduling, patient correspondence, office systems, third-party platforms, policies, protocols, maintenance, and day-to-day operational needs.
  • Ensure exceptional patient care and promptly address and resolve patient concerns.
  • Maintain accurate patient records and ensure high standards of customer service.
  • Manage IT infrastructure, including software, hardware, and system upgrades, as required.
  • Monitor team performance, efficiency, and progress against practice goals.
  • Partner with the doctors, Regional Manager, Finance, Marketing, and other support teams to identify opportunities for practice growth and operational excellence.
  • Develop and execute strategies to support new patient growth, patient retention, referral relationships, and overall practice performance.
  • Lead local marketing, community outreach, external events, and other initiatives that support practice growth and new patient acquisition.
  • Maintain active engagement with the Regional Manager and serve as a key connection between Corus and the practice team by sharing relevant updates and supporting organizational initiatives.
  • Provide back-up support to the Treatment Coordinator as required, including facilitating patient consultations during new patient exams and educating patients about the benefits of orthodontic treatment.

About You
  • Bachelor's degree or college diploma in business, retail, office administration, healthcare administration, or a related field is preferred.
  • 5+ years of experience in healthcare, retail, sales, or a similar service-focused environment, including team leadership experience.
  • Previous experience managing and developing a team.
  • Experience in a dental or healthcare environment is an asset.
  • Experience with bookkeeping, budgeting, financial reporting, or P&L management is preferred.
  • Passionate about coaching, mentoring, and developing others.
  • Strong aptitude for change management and continuous improvement.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office; experience with dental software is an asset.
