Job Summary

Basic Function and Responsibilities:

The Outpatient Therapy Supervisor of the Pediatric Rehabilitation Center Ambulatory Care Unit (ACU) reports to the Therapy Manager under the Therapy Oversight Group under the University of Michigan Medical Group (UMMG). They will partner with the ACU Medical Director, Administrative and/or Therapy Manager for overall performance and management of the Pediatric Rehabilitation Center ACU.

This position has both clinical and administrative effort to provide leadership, operational management, and patient care services for the Pediatric Rehabilitation Center ACU. This position will utilize clinical knowledge and experience to ensure the delivery or consistent, high quality patient care and customer service, as well as dedicated effort to guide, implement and support service line operational initiatives at Michigan Medicine.

Essential Functions:

A. Care Delivery
  • Supervise and participate in clinical care delivery
  • Implement, in partnership with the Administrative Manager, ACU program and team objectives
  • Implement care model, guidelines and standards of care at the ACU level
  • Implement clinician deployment and identify non-provider staff complement at the clinic/ACU level
  • Review visit/productivity data to identify potential revisions to the staffing model
  • Regularly analyze clinic workflow and optimization in partnership with ACU triad, referral management, scheduling, check in and out, staff interface with providers
  • Pilot new care models to support UMMG goals in striving to achieve value-based care delivery to populations

B. ACU Operations
  • Supervision and direction given to clinical staff with engagement in their professional development
  • Collaborate with the Therapy Manager to maintain, update and assure implementation of policies, procedures, guidelines and therapeutic strategies
  • Oversees the day-to-day operations of the ACU with the Administrative Manager
  • Manages routine clinic operations in partnership with the Administrative Manager (e.g., scheduling, billing, referral management, etc.)
  • Monitor clinical staff productivity and other identified metrics of the unit
  • Assist in the triage of patient orders to improve scheduling efficiency and accuracy
  • Participate in the preparation of budget plans and data collection for projects and special reports
  • Interview, recommend employment, hire, orient and train clinical staff
  • Provides feedback, supervision, support and performance valuation of assigned ACU staff
  • Assist with documentation and chart audits to assure compliance
  • Coordinate clinical teaching of students, support residency and fellowship programs
  • Partner with the Therapy/Admin Manager in effort to recognize and incentivize staff excellence, analyze, develop and implement plan to promote employee engagement
  • Identify opportunities for quality improvement and carry forward in all areas of ACU
  • Ensures regulatory compliance with CMS, JC, CLIA, and other regulatory agencies as applicable

C. Patient Care
  • Oversee policies to ensure patient satisfaction including analysis of patient and family feedback and corresponding action plan development and implementation
  • Address and follow-through with patient/family feedback and complains including implementation and ongoing evaluation of appropriate process improvements
  • Partners with Admin Manager to oversee policies to ensure safety within the ACU (including physical structure, staff emergency readiness, etc.)
  • Collaborate with the Therapy Manager/Medical Director to review incident reports and ensure appropriate follow-up
  • Help to facilitate urgent access, appropriate transfers and seamless transition of patients from inpatient to outpatient
  • Foster/build relationships and collaborate with referring physicians and stakeholders

D. Clinical Performance
  • With Administrative Manager, implements performance goals with ACU in alignment with UMMG goals
  • Partner with the Therapy Manager to ensure clinician scheduling is consistent with UMMG operational principles
  • Resolves clinical and operational problems at the ACU level

E. Operational and Financial Performance
  • Communicate performance metrics regularly to clinicians and staff in the clinics
  • Monitor operational and financial performance metrics at the ACU level
  • In collaboration with the Therapy Manager, establish ACU level financial plan for upcoming year
  • In partnership with Administrative Manager, may prepare, monitor and manage billing and other fiscal activities including the monitoring of charges and collections, and initiate corrective action where needed

Responsibilities*
  • Regularly review ACU processes to ensure ongoing compliance with institutional goals, objectives, policies, standards and guidelines.
  • Evaluates supporting function operations, identifying areas for improvement
  • Identify, communicate, share, and present clinical, operational, performance, and financial metrics and best practices to staff, and leadership
  • Represent UMMG on committees, at conferences, and community relations.
  • Attend and provide leadership within the ACU Leadership and Site Leadership Meetings
  • Foster collaborative environment by nurturing team-based care in a positive collegial and professional manner
  • Communicate interpretation of Michigan Medicine/UMMG/ACS policies to staff, and outside agencies/groups as needed
  • Participate actively and provide data, action planning and other administrative leadership to the weekly and monthly meetings
  • Support Diversity, Equity and Inclusion (DEI) initiatives.
  • Perform other duties as assigned

Required Qualifications*
  • Bachelor?s degree and current Michigan State licensure in Physical or Occupational Therapy
  • Demonstrated ability to promote collaboration in clinical and administrative teams
  • Demonstrated ability to facilitate teamwork necessary to leverage day to day operations.
  • Excellent interpersonal and communication skills.
  • Demonstrated skill in change management.

Desired Qualifications*
  • Master?s Degree, DPT or Specialty Certification in clinical field
  • Knowledge of the University of Michigan policies and procedures.
  • Experience with team building and incorporating Lean principles into daily work is preferred.
  • Administrative/supervisory experience in an ambulatory health care setting is desired
