Operations Specialist, Global Technical Operations

Location: Gaithersburg, MD

Introduction to role

Are you a proactive administrative and operational person who thrives on orchestrating a senior leader's world while modernizing how a global technical function runs? Do you want to pair world-class administrative mastery with hands-on digital innovation to help deliver life-changing medicines faster and more affordably?

In this role, you will provide high-impact support to the VP leading a global technical organization that underpins how we bring complex, next-generation therapies to patients. About 60% of your time will focus on flawless administrative operations; the remaining 40% will drive digital enablement, AI adoption, and continuous improvement. You will keep priorities moving at pace, simplify how work gets done, and introduce smarter tools that elevate our effectiveness across a worldwide network.

Accountabilities

Digital Enablement and AI Adoption: Implement standards, templates, and automated workflows that reduce manual effort; champion AI-driven scheduling, document management, and productivity tools; use Copilot, ChatGPT, and approved solutions to streamline administrative work.

Continuous Improvement and Change Adoption: Review existing processes, identify bottlenecks, and deliver measurable improvements; create reusable playbooks; share best practices and build a culture of innovation, automation, and learning.

Administrative Support and Coordination: Own a dynamic, constantly evolving calendar; prioritize and sequence critical engagements; coordinate domestic and international travel, visas, logistics, and expenses to improve impact and minimize time lost in transit.

Meetings and Events Enablement: Plan and run leadership meetings and events end-to-end, from agendas and materials to minutes and action tracking; ensure decisions and follow-ups translate into timely execution across teams and time zones.

Information and Systems Management: Maintain organizational charts, distribution lists, records, and administrative systems; produce high-quality presentations and business correspondence that clearly communicate priorities and outcomes.

Onboarding and Access: Coordinate onboarding, equipment, and access management for staff and visitors; anticipate needs, remove friction, and get people productive quickly.

Action Tracking and Delivery Assurance: Monitor commitments, deadlines, and action logs; drive closure and escalate risks early so the VP and leadership team stay focused on the most important work.

Essential Skills/Experience
  • Bachelor's Degree required
  • 2 or 3 plus years of experience working alongside senior leaders within a technical organization or government agency
  • Proficiency with Microsoft 365 (Outlook, Teams, SharePoint), Microsoft Copilot, and workflow tools such as Power Automate; familiarity with expense and travel systems such as Concur.
  • Demonstrated ability to simplify workflows and implement process improvements.
  • Experience using AI-enabled tools and digital productivity solutions.
  • High level of professionalism, discretion, organization, and attention to detail.
  • Strong calendar, travel, meeting, event, and expense management experience a plus


Desirable Skills/Experience
  • Experience supporting a global leader across multiple time zones and regions, including complex international travel and visa logistics.
  • Strong document and content creation skills, including presentation design and meeting facilitation.
  • Background in a science-led, manufacturing, or supply environment where speed, compliance, and quality must be balanced.
  • Exposure to Lean ways of working and change management, with an ability to influence adoption of new tools and processes.
  • Comfort handling sensitive information with discretion and operating with urgency in a high-visibility environment.


The annual base pay (or hourly rate of compensation) for this position ranges from $33.50/hr to $50.26/hr. Our positions offer eligibility for various incentives-an opportunity to receive short-term incentive bonuses, equity-based awards for salaried roles and commissions for sales roles. Benefits offered include qualified retirement programs, paid time off (i.e., vacation, holiday, and leaves), as well as health, dental, and vision coverage in accordance with the terms of the applicable plans.
