Full Job Description
KEY RESPONSIBILITIES

Project Coordination
  • Support the Operations Project Manager with the planning, coordination, and execution of operational projects.
  • Maintain project plans, schedules, task lists, and milestone trackers.
  • Monitor assigned deliverables and follow up with project owners regarding deadlines and outstanding action items.
  • Identify potential delays, risks, or barriers and promptly escalate concerns to the Operations Project Manager.
  • Coordinate project meetings, prepare agendas, document decisions, and distribute meeting notes and action items.
  • Assist with project implementation, testing, rollout, and follow-up activities.

Operational Support
  • Assist with the coordination of day-to-day operational activities and special initiatives.
  • Monitor established processes to ensure tasks are completed accurately and within required timelines.
  • Identify workflow gaps, inefficiencies, or recurring issues and recommend opportunities for improvement.
  • Support the development and implementation of standardized processes, tools, and procedures.
  • Collaborate with facility management and other departments to support operational priorities.

Reporting and Documentation
  • Maintain accurate project files, process documentation, standard operating procedures, and reference materials.
  • Prepare routine project updates, status reports, presentations, dashboards, and tracking documents.
  • Collect, organize, and analyze operational data to identify trends and support decision-making.
  • Ensure project information is current, accessible, and communicated to the appropriate stakeholders.
  • Maintain organized records of project decisions, approvals, risks, and completed deliverables.

Cross-Functional Communication
  • Serve as a coordination point between the Operations Project Manager, internal departments, community teams, vendors, and other stakeholders.
  • Communicate project timelines, expectations, status changes, and follow-up needs clearly and professionally.
  • Build positive working relationships across departments and encourage collaboration toward shared objectives.
  • Respond to project-related questions and route issues to the appropriate team member when necessary.

Quality and Compliance
  • Review project documents, reports, and deliverables for completeness, consistency, and accuracy.
  • Support compliance with company policies, operational protocols, contractual requirements, and applicable regulations.
  • Assist with audits, quality reviews, and corrective-action tracking as assigned.
  • Protect confidential and sensitive company, colleague, resident, and business information.


Requirements

CANDIDATE QUALIFICATIONS

Education
  • Associate or bachelor's degree in business administration, operations management, project management, or a related field is preferred.
  • Equivalent education and relevant professional experience may be considered.
  • Project management or process-improvement training is a plus.

Experience
  • Two or more years of experience in project coordination, operations, administration, facility management, or a related field is preferred.
  • Experience supporting multiple projects, departments, or stakeholders simultaneously is strongly preferred.
  • Experience in senior living, healthcare, hospitality, property management, or a multi-site organization is a plus.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Strong organizational and time-management skills.
  • Ability to manage multiple assignments, priorities, and deadlines.
  • Excellent attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
