Brief Job Description:

This position is open to U.S. Citizens and permanent residents.

This onsite role requires the selected candidate to work from an HHS office in Austin, Texas.

The Operations Coordinator reports to the Deputy CIO of the TIERS/MES Product Office. This position is focused on coordinating strategic operations of the IT Social Services Applications (IT-SSA/TIERS) and Medicaid Enterprise Systems (MES) teams and works directly with the Directors of each team to ensure alignment. Work involves developing and maintaining an operational plan; identifying opportunities for process improvements and applying industry standard process improvement methodologies; managing communications between the teams, the DCIO, and executive leadership; performing routine data analysis; delivering reports, dashboards, and presentations to all levels of stakeholders; monitoring and analyzing team productivity metrics; coordinating meetings and other collaboration activities to drive innovation and improvement; managing external communications; and tracking audit activities. This position works under minimal supervision, with extensive latitude for the use of initiative and independent judgment.

Essential Job Functions (EJFs):

EJF1 - (30%) Coordinates operational activities to meet the Product Office's business needs; develops and maintains operational plans and processes and identifies and documents steps to achieve established strategic and operational plans. Analyzes established business processes and existing systems to identify gaps and document required enhancements and improvements; applies industry standard process improvement methodologies to increase efficiency and effectiveness. Supports team leads in disseminating process updates and general team communications, providing training and direction as required. Communicates expectations from the DCIO to the team leads and monitors compliance with team requirements.

EJF2 - (30%) Performs routine data analysis using analytics toolsets and visualization tools to identify and track trends, develop insights, formulate hypotheses and draw conclusions and recommendations based on data consumed. Develops reports and dashboards as required to track details on resources, applications, budget, audits, and other key business factors. Consolidates key findings and metrics into executive-level presentations. Monitors and analyzes team productivity metrics.

EJF3 - (25%) Coordinates and leads all-hands staff meetings, small group work sessions, and collaborative innovation initiatives. Represents the department at IT meetings and training sessions and prepares relevant presentation content. Coordinates meetings with outside vendors and program personnel. Performs tasks on behalf of the Deputy CIO upon request, including representing the DCIO at meetings.

EJF4 - (15%) Interfaces with the audit team to track the status of ongoing audits, recommendations, and validation exercises. Prepares regular status reports for leadership on audit findings and requirements. Prepares reports in response to legislative requests. Supports development of external communications of team achievements and advancements.

Preferred
  • Prior public sector experience.
  • Demonstrated skill at using Power BI, Tableau, or other business intelligence and data visualization tools.
