DescriptionOperations Manager, San AntonioThe RoleWe are currently seeking an experienced Operations Manager to join our dynamic leadership team in a full-time capacity. This hybrid role (remote and in-office) will require travel outside the San Antonio area (approximately 25-50%) depending on organizational growth and business needs.
The Operations Manager leads the people, systems, and business operations that allow Health by Design clinics or service line to thrive. This role extends beyond the day-to-day clinic environment, connecting clinical operations with financial stewardship, workforce leadership, compliance, facilities, technology, and client partnership. Working closely with clinical leaders and shared-service teams, the Operations Manager creates a safe, efficient, and accountable environment where team members can do their best work and patients receive the relationship-driven care they deserve. What You'll DoLead Operations and Performance- Own day-to-day operational performance for the assigned clinics or service line, ensuring work is organized, priorities are clear, and service commitments are met.
- Build efficient, reliable workflows that support patient access, team effectiveness, and consistent execution across clinical and administrative operations.
- Monitor operational quality, patient-experience, and financial indicators; identify trends and lead timely improvement efforts.
- Maintain readiness for regulatory, safety, privacy, and company requirements, partnering with clinical and functional leaders to address risk.
- Translate organizational priorities into clear local plans, responsibilities, and follow-through.
Lead People and Culture- Lead, coach, and develop clinic team members in partnership with physician and nursing leaders, creating a culture of trust, accountability, and shared purpose.
- Manage performance, employee relations, attendance, scheduling, and other workforce matters in partnership with Human Resources.
- Support workforce planning, interviewing, selection, onboarding, training, and retention to ensure the right people are prepared for the work.
- Set clear expectations, provide timely feedback, and address performance or conduct concerns with consistency, care, and sound judgment.
- Create opportunities for team members to grow while strengthening collaboration across clinical, operational, and shared-service teams.
Strengthen the Patient and Client Experience- Partner with clinical leaders to maintain a safe, welcoming, and relationship-driven environment where patients feel known, respected, and connected to their care team.
- Collaborate with Strategic Account Management to understand client priorities, respond to concerns, coordinate solutions, and demonstrate the value Health by Design delivers.
- Use patient, client, and team feedback to improve access, service, communication, and health outcomes.
- Coordinate HBD participation in client events and operational needs within and beyond the clinic, as appropriate.
Manage Financial and Administrative Operations- Strategic budget development in partnership with the executive team
- Ongoing management of expenses, purchasing, invoices, and accounting Monitor labor, supplies, vendor costs, and other drivers of operational performance; take action to support responsible stewardship and cost-effective care.
- Review payroll and timekeeping information for accuracy and resolve issues promptly with Payroll and Human Resources.
- Maintain complete, accurate, and timely operational records, reports, and documentation.
- Prepare and communicate business updates, recommendations, and results to leaders, clients, and cross-functional partners.
Guide Facilities, Technology, and Readiness- Oversee equipment, supplies, inventory, vendor relationships, and the overall readiness and appearance of the clinic environment.
- Coordinate facility maintenance, renovation, and improvement projects with internal teams, clients, landlords, and vendors.
- Support the implementation of hardware, software, and operational systems; reinforce adoption through clear communication and training.
- Develop, coordinate, or facilitate training that strengthens operational consistency, safety, and team capability.
- Identify operational risks or service disruptions early, escalate appropriately, and lead practical solutions through completion.
RequirementsEducation and Experience- Bachelor's degree in healthcare administration, business, nursing, operations, or a related field required; master's degree preferred.
- Five or more years of progressively responsible operations, practice-management, or healthcare leadership experience; experience leading people and managing business operations strongly preferred.
- An equivalent combination of relevant education and experience may be considered.
Knowledge, Skills, and Abilities- Demonstrated ability to lead people, build cohesive teams, manage performance, and navigate employee-relations matters with discretion.
- Strong business and financial judgment, including experience with budgets, expenses, payroll, purchasing, and operational reporting.
- Working knowledge of healthcare operations, regulatory requirements, patient safety, privacy, and quality standards.
- Strong analytical and problem-solving skills, with the ability to use data, identify root causes, and translate findings into action.
- Clear, confident communication skills and the ability to build trusted relationships with team members, senior leaders, clients, patients, and vendors.
- Ability to organize competing priorities, move work forward with appropriate urgency, and maintain attention to detail.
- Proficiency with Microsoft 365, electronic medical record systems, and business or workforce-management technology.
- Preferred credentials may include a Registered Nurse license, Certified Medical Office Manager (CMOM), Practice Management Institute certification, Lean Six Sigma, or a comparable operations credential.
