JOB SUMMARY

The Operations Manager, under the direction of the Director, oversees the day-to-day operations of the business and manages the administrative and recruitment teams. They support and actively participate in risk management activities, internal auditing programs, performance metrics, ISO audits, and business development/marketing activities as appropriate. The Operations Manager, with the assistance of the Director, manages human resource activities such as recruiting, advising on HR-related matters, and managing team performance - including field staff performance. They ensure alignment with the strategic direction provided by the Director.

DUTIES AND RESPONSIBILITIES

  • Develop, implement, and optimize operational workflows, policies and procedures.
  • Support and facilitate a positive workplace culture.
  • Motivate and manage the performance of the branch's administrative team and/or recruitment team.
  • Analyze operational data to identify trends to improve operational effectiveness.
  • Support budgeting, forecasting, and financial performance monitoring.
  • Assist in the collection of required reports for Management Review meetings.
  • Assist with reconciling invoices and AP approval workflows.
  • Assist with business development and marketing activities as requested.
  • Assist with virtual office operations ensuring resources, scheduling, training, and workload coordination to maximize effectiveness and efficiency.
  • Implement performance metrics framework, track and follow up on the implementation of actions identified through internal audits and Management Reviews.
  • Participate in ongoing internal and/or external continuing education activities.
  • Lead, mentor and support administrative staff.
  • Coordinate training programs and ensure staff competency in operational processes.
  • Foster culture of accountability, communication and continuous improvement.
  • Support client satisfaction efforts through timely communication, reporting and quality oversight.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participate in proactive Health & Safety activities while performing all duties. Notify the immediate Supervisor of any Health & Safety risks or concerns. Responsible for completing Accident Reports for all direct reports who are injured on the job, within 24 hours of the incident.
  • Maintain confidentiality of client and corporate information, discussing it only with appropriate Bayshore personnel.
  • Adhere to Bayshore Policies and Procedures.
  • Complete other tasks as requested.


REPORTING RELATIONSHIPS

The Operations Manager reports to the Director. Direct reports include the Contracts Manager and the Recruitment Manager. Indirectly responsible to support all Field Staff as required.

QUALIFICATIONS

  • Completion of a bachelor's degree in a health or business-related field.
  • At least five years of progressively responsible recent experience in office management, two of which were at a supervisory level; strong record of performance and knowledge of/exposure to business operations, business development, financial management, and human resources.

Exceptional interpersonal skills and ability to manage difficult situations in an objective, consistent manner; ability to work independently and as part of a team; excellent coaching skills and commitment to continual learning; above-average communication and problem-solving skills. Strategic, high-energy, and positive, with strong ethics and an ability to build relationships.

Internal candidates with less academic preparation must have a demonstrated record of achievement relating to accounting and office management and have consistently shown above-average initiative and a solid history of performance. Successful internal candidates must complete a three-month probationary period specific to the Operations Manager position.
