Office Manager

Description:

The Office Manager is responsible for overseeing the day-to-day management of the office, including, but not limited to, direct management of the legal assistant teams and office services. This position is the office go-to person for the office and ensures administrative operations run smoothly. This position reports to the Director of Operations.

Requirements and Qualifications:
  • High school degree required, bachelor's degree preferred
  • 7+ years of administrative or clerical experience, preferably in a law firm or professional services environment
  • Experience managing legal assistants and/or administrative support
  • Thorough understanding of legal assistant role and responsibilities and attorney/assistant relationship
  • Exceptional leadership, communication, and interpersonal skills
  • Highly proficient in Microsoft Office (Word, PowerPoint, Excel and Outlook)
  • Knowledge or experience in IP law a plus

Duties and Responsibilities:

Office Operations and Facilities Management:
  • Oversee daily operations of the Washington, DC office, including management of office and kitchen supplies, vendor equipment, records management, supervision of general services team (outsourced) and conference services.
  • Oversee vendor contracts.
  • Work with property management on building services issues, security, office access, and safety and emergency procedures.
  • Coordinate office moves and assist with space planning and office relocation as needed.
  • Maintain policies and procedures for office operations.

People Management:
  • Responsible for the daily supervision of the Washington, DC legal assistants.
  • Support performance review cycles and training coordination.
  • Collaborate with Human Resources in managing and resolving performance and employee relations issues, recruiting, counseling and discipline, termination, onboarding and orientation, resource allocation and policy development of same.

Employee Engagement:
  • Plan and support firm events, including annual holiday party.

Leadership Support:
  • Collaborate with management team on firm-wide initiatives.
  • Special projects will be assigned on an as needed basis.

This position is a hybrid role, with a blend of remote and in-office work. The employee will be required to work in the office at least three days per week, or more, depending on business needs and/or work assignments. In-office specific duties include managing mail, copying, face-to-face meetings, greeting clients and visitors, team collaborative projects, as well as company events.

The salary range for this role is between $100,000 - $150,000. This is an exempt position. This range is only applicable for jobs to be performed in Washington, D.C. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, geographical location, and business or organizational needs.
