Job Description

HII: Mission Technologies is seeking an experienced Move & Occupancy Planning Manager to join our team! The Move & Occupancy Planning Manager is responsible for ensuring efficient use of workplace space, coordinating employee and departmental moves, and maintaining accurate occupancy data within the organization's IWMS (Integrated Workplace Management System). This role partners closely with Real Estate, Facilities, HR, IT, Security, and business leaders to deliver seamless move events and support long-term space planning strategies. The ideal candidate is highly organized, data-driven, and comfortable managing multiple projects.

Essential Job Responsibilities

Occupancy Planning
  • Maintain accurate space and occupancy data within the IWMS, including headcount, seating assignments, floor plans, and departmental allocations
  • Develop short- and long-term occupancy plans aligned with business growth, portfolio strategy, and workplace standards.
  • Analyze space utilization trends and provide recommendations to optimize density, adjacencies, and workplace efficiency.
  • Support scenario planning, stacking diagrams, and space modeling for expansions, consolidations, and reorganizations.

Move Management
  • Lead end-to-end planning and execution of employee, departmental, and large-scale moves (MAC: Moves, Adds, Changes).
  • Develop move schedules, communication plans, seating charts, and logistics documentation.
  • Coordinate with IT, Security, Facilities, and vendors to ensure readiness of furniture, technology, access control, and building services.
  • Conduct pre-move and post-move validations to ensure accuracy and employee satisfaction.
  • Manage move tickets, approvals, and workflows within the IWMS.
  • Review and validate space assignment information, with site visits as needed.
  • Coordinate with vendors on move requests as needed.

Data & Systems Management
  • Serve as the subject-matter expert for the IWMS space and occupancy modules.
  • Ensure data integrity through regular audits, reconciliations, and updates to floor plans and occupancy records.
  • Perform regular space occupancy audits across HII Mission Technologies leased facilities to ensure accurate, compliant, and up-to-date data.
  • Travel to offices to physically validate seating assignments and space utilization.
  • Partner with site point of contacts to reconcile audit findings and correct discrepancies in IWMS application.
  • Maintain an audit schedule and reporting cadence to support space allocation compliance, cost accuracy, and operational planning.
  • Generate dashboards and reports on occupancy, utilization, vacancy, and forecasted needs.
  • Maintain space standards, naming conventions, and governance processes.


Minimum Qualifications

  • 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience.
  • Bachelor's degree in Facilities Management, Architecture, Interior Design, Business, Project Management or related field (preferred).
  • 3-7+ years of experience in occupancy planning, move management, workplace operations, or corporate real estate.
  • Proficiency with IWMS platforms (e.g., Nuvolo, TRIRIGA, Archibus, Planon, Serraview).
  • Strong understanding of space planning concepts, workplace standards, and utilization metrics.
  • Excellent project management, communication, and stakeholder-management skills.
  • Ability to interpret floor plans, stacking diagrams, and architectural drawings.
  • Experience coordinating cross-functional teams and managing vendors.
  • Strong analytical skills with the ability to translate data into actionable insights.
