WHAT'S THE BIG IDEA? As our
Mortgage Administration Manager, you'll lead a talented team responsible for ensuring every mortgage transaction is completed accurately, efficiently, and with exceptional care throughout its entire lifecycle. You'll oversee the day-to-day operations of the Mortgage Administration department while developing your team, driving operational excellence, and continuously improving processes to support a growing business. Working closely with Underwriting, Valuations, Accounting & Finance, Business Development, and other departments, you'll help create a seamless experience for our customers, brokers, and partners.

HOW DO YOU FIT IN? The successful individual will have the following experience, education, and ability to develop these demonstrated skills:
- Progressive experience in mortgage administration, lending operations, or a related financial services environment considered an asset.
- Minimum of 5 years of leadership experience supervising or managing a team.
- Demonstrated experience leading operational improvements, process development, and workflow optimization.
- Extensive knowledge of mortgage administration processes and the mortgage lifecycle considered an asset
- Excellent organizational, planning, and workload management skills with the ability to manage competing priorities and meet deadlines.
- Diploma or bachelor's degree in Business Administration, Finance, Commerce, Accounting, or a related field is preferred.
- An equivalent combination of education and directly related experience will be considered.
- Professional coursework or certifications related to mortgage lending, financial services, leadership, or project management are considered assets
WHAT YOU WILL BE DOING 1. Mortgage Administration Operations - 25% - Lead the day-to-day operations of the Mortgage Administration department, ensuring work is completed accurately, efficiently, and within established service standards.
- Oversee all mortgage administration functions, including mortgage funding, mortgage administration, Trust condition fulfillment, Insurance management, Mortgage renewals, and Third-party mortgage administration
- Monitor departmental workload, priorities, and capacity to ensure timely completion of all mortgage transactions.
- Resolve complex or escalated mortgage administration issues that fall outside standard processes.
2. Process Improvement & Operational Excellence - 25% - Lead the development, implementation, and continuous improvement of mortgage administration policies, procedures, and operational processes.
- Regularly review workflows to improve efficiency, scalability, service quality, and risk management.
- Partner with other departments to improve cross-functional processes and create seamless workflows across the organization.
- Support technology enhancements, automation initiatives, and system implementations affecting Mortgage Administration.
- Maintain accurate departmental procedure documentation to support consistency, training, and business continuity.
- Be the system owner for The Mortgage Office
- Support the system administrator for FundMore as it relates to the Administrative work capabilities.
3. Compliance & Risk Management - 10% - Ensure Mortgage Administration activities comply with all applicable legislation, regulatory requirements, and internal policies.
- Maintain compliance with requirements including, but not limited to the Real Estate Act, Privacy legislation, Securities legislation, Business Corporations legislation, Fair Trading legislation, Proceeds of Crime (Money Laundering) and Terrorist Financing Act (PCMLTFA)
- Partner with Finance and Compliance teams during internal audits, external audits, AML reviews, and regulatory examinations.
4. Leadership & Talent Development - 40% - Lead, coach, and develop the Mortgage Administration team to achieve individual, departmental, and organizational objectives.
- Foster a collaborative, accountable, and high-performing team culture aligned with CHMIC's values.
- Recruit, onboard, and train new team members.
- Conduct regular one-on-one meetings to provide coaching, feedback, and development support.
- Complete annual performance reviews and ongoing performance conversations.
- Develop succession plans and individual development plans for direct reports.
- Plan team schedules and approve vacation and time-off requests while maintaining operational coverage.
- Facilitate regular department meetings to communicate priorities, business updates, and continuous improvement initiatives.
- Develop and manage departmental budgets, budget vs. actual review, annual plans, talent mapping and resource planning.
