Job Summary:

The Materials Manager oversees all non-cannabis material movement, tracking, and reconciliation across production. This role ensures materials are available, accurate, and audit-ready at every stage - from warehouse receipt to production use.

Acting as the link between Procurement, Warehouse, Inventory, and Production, the Materials Manager drives efficiency through proactive planning, tight inventory control, and detailed variance analysis. This leader manages a team of Warehouse and Inventory Coordinators and partners with a Warehouse Supervisor to ensure materials are staged, tracked, and consumed in alignment with production schedules, compliance requirements, and company standards.

Schedule: M-F; 0700- 1630 (May adjust depending on business needs. Occasional weekend)

Supervisory Responsibilities:
  • Lead, develop, and mentor a team of Warehouse and Inventory Coordinators to ensure efficient material movement, accurate tracking, and adherence to SOPs and safety protocols.
  • Oversee and support a Warehouse Supervisor who is responsible for a team of warehouse coordinators and daily warehouse execution.
  • Foster collaboration and alignment between warehouse, inventory, procurement, and production teams to maintain an organized, efficient, and compliant operation.

General Duties/Responsibilities:
  • Verify and maintain on-time production materials according to the production schedule.
  • Ensure all materials are pre-staged and verified at least one week in advance of scheduled production.
  • Proactively communicate any shortages or risks that could delay production, with enough lead time to prevent shutdowns or unplanned downtime.
  • Manage the flow of non-cannabis materials between warehouse and production, ensuring accurate, timely delivery with proper labeling and documentation.
  • Track and record material usage, returns, and waste in coordination with production and inventory teams.
  • Ensure all material consumption is posted within 24 hours of batch close.
  • Maintain key performance indicators (KPIs) and provide regular reports on material consumption, inventory levels, variances, and waste trends.
  • Lead post-production reconciliation of all materials, confirming physical counts match ERP and other system records.
  • Ensure system Bills of Materials (BOMs) are accurate and cross-checked against master files, addressing discrepancies with production, inventory, and compliance teams.
  • Conduct root-cause analysis for any variances, using tracking tools and reports to identify process gaps and prevent recurrence.
  • Maintain detailed documentation of adjustments and provide reports on material accuracy, consumption timing, batch-close compliance, and variance trends.
  • Inventory Control and Waste Management
  • Conduct weekly cycle counts and continuous inventory audits to maintain accuracy of all material movements.
  • Monitor inventory levels to support production planning and avoid shortages or overstock.
  • Ensure all waste tracking is accurate, timely, and supported by notes when high waste events occur.
  • Review waste and consumption trends weekly to identify and implement waste-reduction and efficiency initiatives.
  • Maintain full compliance with state regulations and internal SOPs for material tracking, storage, security, and reporting.
  • Oversee warehouse operations including receiving, storage, internal transfers, and outbound shipments.
  • Ensure proper labeling, secure pallet storage, and safe handling of all goods to protect product integrity and safety.
  • Manage inbound and outbound logistics, including full truckload (FTL), less than truckload (LTL), and courier shipments, ensuring cost-effective and timely transportation.
  • Ensure that all shipments are supported by correct documentation and are loaded efficiently to avoid damage in transit and to meet internal or customer timelines.
  • Oversee accurate loading and unloading of trailers and containers, resolving issues that may impact safety, quality, or schedules.
  • Ensure timely inspections and AQL standards are upheld on all inbound materials.
  • Lead, train, and mentor Warehouse and Inventory Coordinators and related staff, ensuring accountability and a culture of accuracy and ownership.
  • Ensure all team members follow SOPs for material movements, waste documentation, and batch reconciliation within 24 hours of batch close.
  • Build strong communication and collaboration between warehouse, inventory, and production to maintain flow, accuracy, and readiness.
  • Provide clear performance expectations, conduct regular feedback and coaching, and participate in hiring, training, and performance reviews as needed.
  • Promote a safe, organized, and continuous improvement mindset within the team.

Required Skills/Abilities:
  • Strong knowledge of materials management, warehouse operations, and production workflows.
  • Excellent analytical and problem solving skills, with the ability to investigate and resolve variances and drive corrective actions.
  • Proficiency in ERP or production tracking systems (e.g., Business Central or similar) and Microsoft Excel.
  • Strong organizational skills with high attention to detail and accuracy in documentation.
  • Ability to work well under pressure in a fast-paced, high-volume production environment.
  • Outstanding communication skills, with the ability to collaborate effectively across warehouse, production, inventory, procurement, and compliance teams.
  • Demonstrated leadership skills with the ability to train, coach, and hold team members accountable.
  • Highly organized, detail-oriented, and proactive, with the ability to manage competing priorities.

Education and Experience:
  • Bachelor degree in Supply Chain, Business, Operations Management, or a related field preferred.
  • 3+ years of experience in team and material management, inventory control, warehouse operations, or manufacturing/production support.
  • Experience in a regulated industry, preferably cannabis, food, or pharmaceutical manufacturing, is strongly preferred.
  • Large database or ERP system experience required.

Physical Requirements:
  • Ability to lift and carry heavy objects up to 75 pounds.
  • Comfortable working in environments with exposure to noise, dust, heat, cold and other industrial elements.
  • Ability to work in a warehouse environment with variable temperatures and humidity levels.
  • Willingness to work flexible hours and occasional overtime as needed, including weekends, public holidays, and evenings.
  • Must be able to stand, walk, bend over, and pick up items and have constant movement for the duration of the shift.
    • Must be able to lift, push, kneel, and pick up items, both small and large.
    • Capability to operate heavy machinery such as pallet jacks and forklifts safely and efficiently.

This is a full-time, exempt position. The role requires the flexibility to work the hours necessary to meet business needs, which may include extended hours, weekends, and holidays. Work schedules and expectations may be adjusted based on operational priorities and organizational demands.
