The Marketing Event and Trade Show Manager is responsible for leading the planning, coordination, and execution of CesiumAstro's external events, tradeshows, customer engagements, sponsorship activities, and industry association participation. This role serves as a senior individual contributor within the Marketing Communications organization and is responsible for independently managing complex event initiatives that support customer engagement, brand visibility, and business development objectives.

Working with minimal supervision, this position partners closely with Marketing, Business Development, Product Management, Engineering, Operations, and Executive Leadership teams to coordinate event activities, manage logistics, oversee vendor relationships, and support customer-facing engagements. The role applies advanced professional knowledge of event planning and operational execution to deliver high-quality experiences while identifying opportunities to improve processes, enhance efficiency, and strengthen event outcomes.

The ideal candidate is a highly organized and resourceful marketing professional with strong project management capabilities, exceptional attention to detail, and the ability to successfully manage multiple high-priority initiatives simultaneously. This individual exercises sound judgment, operates independently, and serves as a trusted resource for event planning and execution within a fast-paced aerospace and defense environment.

JOB DUTIES AND RESPONSIBILITIES

Event Planning and Tradeshow Execution
  • Lead the planning, coordination, execution, and continuous improvement of CesiumAstro's tradeshow, conference, customer engagement, and event participation activities.
  • Manage the company's participation in major industry tradeshows, conferences, and customer-facing events, ensuring successful execution from initial planning through post-event follow-up and evaluation.
  • Develop and maintain detailed project plans, timelines, logistics schedules, budgets, execution checklists, and risk mitigation plans to support successful event delivery.
  • Coordinate all event operational requirements including booth reservations, vendor management, shipping logistics, installation and dismantle schedules, hotel accommodations, badge registrations, meeting space reservations, and event compliance requirements.
  • Coordinate the delivery, setup, operation, and return of product hardware, demonstration equipment, marketing assets, and supporting materials required for customer engagements and industry events.
  • Identify opportunities to improve event processes, execution efficiency, attendee engagement, and operational effectiveness, and implement approved improvements.
  • Track event performance metrics and prepare post-event analyses, recommendations, and lessons learned to support future planning and continuous improvement efforts.

Customer Engagement and Sponsorship Management
  • Partner with Marketing Communications, Business Development, Product Management, and Engineering teams to develop event messaging, presentations, collateral, demonstrations, and engagement activities aligned with business objectives.
  • Support executive meetings, customer dinners, hospitality events, networking opportunities, and strategic relationship-building activities associated with industry events and customer engagements.
  • Ensure all customer-facing experiences reflect CesiumAstro's brand standards, messaging, professionalism, and commitment to operational excellence.
  • Collaborate with internal stakeholders to prepare and submit conference applications, speaking abstracts, sponsorship materials, award nominations, and event participation documentation.
  • Maintain awareness of customer expectations, industry trends, competitor activities, and event best practices to support continuous improvement and maximize event effectiveness.

Cross-Functional Collaboration and Operational Support
  • Serve as a primary point of coordination between Marketing, Business Development, Product Management, Engineering, Operations, and Executive Leadership teams for event-related planning and execution activities.
  • Facilitate event planning meetings, project reviews, execution updates, and post-event debrief sessions to ensure alignment and successful delivery of event objectives.
  • Build and maintain effective working relationships with vendors, venues, contractors, industry organizations, and external service providers to support successful event execution.
  • Provide recommendations regarding event logistics, sponsorship opportunities, process improvements, and customer engagement activities based on experience, analysis, and event outcomes.
  • Anticipate operational challenges and proactively develop solutions and contingency plans to minimize disruptions and maintain execution quality.
  • Provide guidance and support to less experienced team members on event planning processes, standards, and best practices when appropriate.
  • Support employee engagement initiatives and internal company events as business needs require.
  • Perform other duties and responsibilities as assigned in support of business objectives.


JOB REQUIREMENTS AND MINIMUM QUALIFICATIONS

  • 5-8 of experience in events, customer engagement, or tradeshow logistics with BS/BA
  • 3-6 years with MS/BA
  • Advanced knowledge of tradeshow planning, event logistics, customer engagement practices, and event management best practices.
  • Demonstrated ability to independently manage multiple projects and priorities while maintaining exceptional attention to detail and execution quality.
  • Strong vendor management, contract coordination, budgeting, scheduling, and project management capabilities.
  • Excellent written, verbal, presentation, and interpersonal communication skills.
  • Strong organizational, analytical, problem-solving, and decision-making abilities.
  • Ability to collaborate effectively across cross-functional teams and influence outcomes without direct authority.
  • Working knowledge of branding, marketing communications, customer experience, and lead generation principles.
  • Familiarity with aerospace, defense, technology, or manufacturing environments preferred.
  • Working knowledge of compliance, security, and confidentiality requirements associated with customer and industry events preferred.
  • Microsoft Office Suite, including advanced proficiency in Excel and PowerPoint.
  • Ability to travel up to 25% domestically and occasionally internationally as business needs require.
