Overview

POSITION SUMMARY

This individual will be directly responsible for the seamless coordination of office operations in our Coral Gables headquarters. This role is designed to provide full operational coverage from 10:00am to 7:00pm, ensuring continuity of building operations, vendor management, employee experience, and facilitating maintenance and improvement projects.

This individual will manage assigned responsibilities while closely coordinating with the Director, Operational Safety and Security to ensure clear ownership, seamless handoffs, and consistent standards across the office and provide day to day management and oversight of team members.

This is an in-person role in Coral Gables, Florida, requiring daily presence in the office.

DUTIES AND RESPONSIBILITIES
  • Support the Director, Operational Safety and Security as the on-site operations lead from 10:00am to 7:00pm.
  • Oversee office readiness, including conference rooms, shared spaces, pantries, seating layouts, and inventory supply levels.
  • Manage day to day responsibilities of the on the ground Property Ops team
  • Manage vendors for cleaning, security, maintenance, repairs, and other third-party services during assigned coverage hours.
  • Coordinate service calls, troubleshooting, and follow-ups for facilities issues, ensuring timely resolution.
  • Support enforcement of security, badge access, and visitor protocols.
  • Assist with emergency response readiness, including drills, documentation, and real-time incident management.
  • Help maintain compliance with local building requirements, inspections, and operational standards.
  • Coordinate with HR, IT, Operational Risk, and other internal teams on employee logistics and operational requests impacting the workplace.
  • Support special projects, office initiatives, and ad-hoc operational needs as needed.

SKILLS/KNOWLEDGE/ABILITIES REQUIREMENTS
  • Strong verbal and written communication skills, with comfort interacting across levels.
  • Excellent interpersonal and customer service skills.
  • Ability to prioritize and resolve issues in a fast-paced, on-site environment.
  • Basic understanding of the materials, methods, and tools used to construct and repair buildings and infrastructure of properties.
  • Understanding of laws, guidelines, and best practices of property management.
  • Proficiency in Microsoft Office Suite and service/ticket management systems.

EDUCATION AND EXPERIENCE
  • 8-10 years of experience in property management, office operations, or facilities management.
  • Prior experience serving as a lead or deputy in an operational environment preferred.
  • Strong security experience preferred.

  • This is an onsite role and will be based in Bayview's Coral Gables FL office.
