  • Design and maintain payroll tax controls and documentation, identifying process improvement opportunities

Full Job Description

Your Role:

Responsible for the day-to-day oversight of payroll tax operations across 15 legal entities spanning all 50 U.S. states and Puerto Rico. Manages an outsourced Payroll Tax Partner responsible for daily tax deposits, statutory filings, audits, and identifying new jurisdiction registrations.

Plays a critical role in ensuring accurate financial reporting and full compliance with federal, state, and local payroll tax regulations. Partners cross-functionally with Finance, Legal, and external advisors to support efficient tax operations, resolve complex tax matters, and contribute to strategic tax initiatives, including payroll tax considerations related to mergers and acquisitions (M&A).

What you'll be doing:

Payroll Tax Compliance & Operations

  • Oversee accurate withholding, calculation, and remittance of federal, state, local, and territory payroll taxes (including Puerto Rico)
  • Ensure timely daily, monthly, quarterly, and annual tax deposits
  • Review, balance and approve all monthly, quarterly and annual tax filings/returns
  • Monitor compliance with changing payroll tax laws and regulations
  • Manage tax registrations, terminations, and rate updates for new or existing jurisdictions

Vendor & Outsourcing Management

  • Manage and oversee an outsourced Payroll Tax Partner deliverables for accuracy, timeliness, and compliance
  • Resolve escalations, discrepancies, and errors
  • Lead vendor performance reviews and ensure SLA adherence
  • Lead responses to tax notices, audits, and agency inquiries but investigate and resolve payroll tax discrepancies and penalties
  • Manage all abatements, refunds, and amended filings
  • Maintain audit-ready documentation and controls

Accounting & Financial Reporting

  • Participate in payroll tax reconciliation to the general ledger accounts as necessary
  • Support periodic, month-end, quarter-end, and year-end close
  • Ensure accurate accruals and payroll tax reporting
  • Partner with Finance on SOX controls and internal audits

Cross-Functional Collaboration

  • Partner with Payroll, Finance, Legal, HR, and Treasury teams
  • Provide payroll tax guidance on benefits, equity, and compensation programs
  • Support business initiatives impacting payroll taxes

Mergers, Acquisitions & Strategic Initiatives

  • Conduct payroll tax due diligence for M&A activities
  • Support new entity setup, harmonization, and compliance post-acquisition
  • Advise on payroll tax risks and integration planning
  • Support strategic decision-making with tax insights

Process Improvement & Controls

  • Design and maintain payroll tax controls, procedures, and documentation
  • Identify opportunities for process improvement and automation
  • Implement system enhancements and tax updates as required
  • Ensure compliance with internal governance and risk frameworks

The estimated base salary for this position is $112,000 to $154,000 annually. The estimated range is meant to reflect an anticipated salary range for the position. We may pay more or less than of the anticipated range based upon market data and other factors, all of which are subject to change. Individual pay is based on upon location, skills and expertise, experience, and other relevant factors.
