Full Job Description
Role impact:

To provide assistance in the management of efficient operations of a major Office Tower, including project management, while directing and coordinating activities of staff and the services provided by architects, consultants, contractors and suppliers.

What you will deliver:

  • Hire, train and supervise all permanent and contract staff by conducting the hiring process in accordance with all Human Rights requirements, providing the necessary orientation and training and reviewing activities on a daily basis to ensure that all staff complete their responsibilities in accordance with CF standards
  • Manage the activities of all direct reports to ensure the timely achievement of department goals, within prescribed policies, procedures and standard business practices provide regular motivation and mentoring to all staff to encourage on going professional development for succession planning purposes
  • Secure qualified contractors and yearly service contracts by compiling specifications and tendering out all contractual work on behalf of CF to ensure the retention of quality, cost-effective resources to complete work within budgetary requirements and in accordance with Building Code and CF standards
  • Oversee the activities of all CF hourly staff by conducting regular property tours, regular staff meetings and reviewing weekly updates on work orders to ensure on-going communications and that responsibilities are completed in a timely and accurate manner
  • Assist in the preparation and implementation of annual operating expense and capital budgets
  • Coordinate the completion of all scheduled and unscheduled maintenance work by scheduling daily work assignments and delegating to the appropriate member of the maintenance team in order to ensure all maintenance work is completed in a timely manner and the property is maintained in a manner that will ensure property standards are maintained
  • Order necessary parts and services required to maintain efficient operation of the Property by determining needs, researching price and quality, following appropriate procedures for purchasing and accurately coding and signing invoices for payment in order to ensure accurate records of expenditures are maintained
  • Prepare accurate and concise reports by collecting and compiling relevant data into summary form and forwarding to appropriate parties on a timely basis to ensure management is provided with accurate information on which to base business decisions
  • Comply with and enforce all safety procedures by participating in safety training and ensuring adherence to all legislative requirements to ensure the building is safe for all occupants and users
  • Identify specification and secure quotations for specialized services, purchases or repairs as requested by contacting appropriate sub-contractor to discuss work to be performed and coordinating and overseeing the work performed to ensure that work is completed in accordance with all building code requirements
  • Develop and maintain programs related to HVAC (Chiller Central Plant), through preventative maintenance, energy management, environmental management, waste management, landscaping, pest control, property security snow removal, parking lot and roof maintenance and rehabilitation, life safety systems, cleaning operations, tenant coordination and other pertinent aspects of physical operations to ensure the ongoing efficiency of the Property operations
  • Secure CF property against loss due to theft, fire, liability claims and prosecutions resulting from operations by ensuring all health, safety and security procedures are adhered to and areas of concern are reported to the appropriate parties in a timely manner in order to limit exposure to liability and loss
  • Ensure all tenants concerns regarding operational issues are resolved on a timely basis by regularly meeting with Operations Supervisor to discuss issues and assisting in solving problems outside his/her scope of responsibility in order to ensure a high level of customer service to tenants and customers
  • Work with the Marketing Department to coordinate marketing and customer care activities as it pertains to operations
  • Maintain complete drawing records and operating logs
  • Responds to emergency calls on a 24-hour basis, as required
  • Perform other duties as assigned

  • Enrollment in FMA, RPA, Shopping Centers Managers Course,or equivalent
  • A minimum 7 years' experience in Physical Operations management with at least 5 years' supervisory/management experience, preferably in an office or mixed use environment
  • Workingknowledge of general maintenance procedures
  • Knowledge of HVAC,electrical/mechanical systemsand large facility services.
  • Good knowledge of management and budgeting principle
  • Computer proficiency with Word, Excel orBuilding Automation SystemsorPreventative Maintenance software
