The Opportunity The Office of the Vice-President, Administration & Operations is seeking an exceptionally organized, administratively strong, and technically proficient leader to join their team. Reporting to the Vice President, the Manager, Operations and Finance will oversee the day-to-day operations of the Office of the Vice President, Administration and provide administrative and research support, as well as organize and manage information and programs.
Key Responsibilities:
- Plans and manages the administration of the Office of the Vice President,
Administration and Operations by determining priorities and overseeing all administrative support functions for the Office. - Leads and manages the annual operating budget process for the Office of the Vice-President, Administration & Operations and provides strategic financial planning, forecasting, reporting and analysis across the Administration and Operations portfolio.
- Develops financial models, forecasts, reporting tools and dashboards to support strategic planning, decision-making and achievement of portfolio objectives.
- Provides analytical and management support to the VPAO and the senior leaders during the strategic planning process, and proactively implements and executes short and long term financial and operational strategies.
- Leads strategic initiatives on behalf of the Vice-President, including planning, implementation, stakeholder coordination and monitoring of outcomes.
- Coordinates and project manages Board of Governors materials, executive briefings, reports, presentations and other confidential documentation on behalf of the Vice-President.
- Provides strategic advice and consultation to senior leaders on financial planning, resource allocation, operational effectiveness and business processes.
- Coordinates portfolio submissions and supports preparation for MACRO Planning Committee discussions and decisions.
- Creates, reviews and edits correspondences, reports, and all materials
distributed from the Office and on behalf of the Vice President, and triages complaints and issues brought to the Office's attention - Acts as the primary contact of the Vice President for internal and external communities and communicates information to various University staff at all levels. This includes effective communication of changes to policies, procedures and related initiatives.
- Oversees all information management for the Office, and establishes and implements departmental procedures and guidelines to ensure effective and efficient business processes.
- Coordinates internal and external committee meetings, including agendas, supporting documentation, logistics, and follow-up activities.
- Manages, supervises, assigns and prioritizes tasks for staff
- Hires, trains, develops and performance manages assigned staff. Establishes goals, sets expectations and provides feedback to staff.

- Post-secondary degree in financial, business or related program
- A minimum of five (5) years of progressively increasing and directly related experience in strategic financial management, budget planning and resources planning and administration, preferably within a university or public sector environment;
- Experience supporting a senior executive and serving as a strategic partner to a senior leadership team.
- Demonstrated experience leading complex projects, strategic initiatives and cross-functional collaboration.
- Strong financial management, budgeting, forecasting and accounting skills, with a commitment to financial accountability and stewardship.
- Excellent analytical, problem-solving and critical thinking skills, with the ability to interpret complex information and provide strategic recommendations.
- Excellent written and verbal communication skills, including experience preparing executive-level reports, presentations and briefing materials.
- Strong stakeholder management, relationship-building and consultation skills, with the ability to work effectively across all levels of the organization.
- Knowledge of academic and administrative processes and procedures within a post-secondary or public sector environment.
- Strong research, report writing and presentation skills.
- Demonstrated supervisory experience, including coaching, performance management and staff development.
