Aboutthe Position:

As Manager of Administration, you will help keep our organization running smoothly by leading the day-to-day administrative functions that support our people, our offices, and our continued growth. You will oversee administrative staff, office operations, digital records management, vendor relationships, business filings, insurance coordination, and operational policies that help teams work efficiently and consistently.

This role is a great fit for someone who brings strong administrative leadership, sound judgment, and a high level of professionalism and discretion. You will partner closely with Accounting, IT, People Services, Directors, Project Managers, and senior leadership to improve processes, support business needs, and provide reliable administrative support across the organization.

Essential Responsibilities:
  • Administrative Operations: Lead day-to-day administrative activities, improve operational policies and systems, and help create consistent processes across the organization.
  • Office and Facilities Management: Oversee office facilities, leases, equipment, maintenance, space planning, office moves, workplace improvements, and office supply procurement.
  • Digital Records and Compliance: Manage SharePoint and document management processes, maintain organizational records, oversee retention and archiving practices, and support audits or compliance reviews as needed.
  • Insurance, Licenses, and Filings: Prepare business insurance applications, support project-specific excess policies, manage COI requests and claims, and maintain state, local, and international subsidiary documentation.
  • Vendor and Contract Management: Manage vendor and service provider relationships, support contract and service agreement reviews, and monitor vendor performance and service quality.
  • Budget and Financial Administration: Assist with company and departmental budgets, review applicable invoices, purchase orders, and vendor contracts, and identify opportunities for cost savings.
  • Executive and Organizational Support: Support senior leadership with administrative planning, meetings, events, organizational communications, Board Meeting minutes, and special projects.

Qualifications:

Required
  • Bachelor's degree in Business Administration, Management, Public Administration, or a related field preferred.
  • Demonstrated experience in administrative support, office management, or a similar role.
  • Strong leadership, team management, organizational, and time-management skills.
  • Excellent written and verbal communication skills with the ability to partner across departments and leadership groups.
  • Proficiency with Microsoft Office Suite and knowledge of records management and office administration best practices.
  • Ability to manage multiple priorities, solve problems, make sound decisions, and meet deadlines.
  • High level of professionalism, discretion, confidentiality, ethical standards, and commitment to corporate governance.
  • Applicants must be currently authorized to work in the United States on a full-time basis.

Preferred
  • Architectural, engineering, construction, or professional services industry experience.
  • Experience managing office facilities, vendor relationships, leases, or operational contracts.
  • Experience supporting business insurance, COIs, licenses, filings, audits, or corporate records.
  • Experience organizing and improving digital document management systems, including SharePoint.

Working Conditions:

Typical Travel: Minimal: 0%-15%, based on business needs.

Work Environment: Typical office environment; occasional field interaction may be required.

Physical Requirements: Ability to sit for extended periods, work on a computer, and occasionally stoop, lift and/or carry up to 10-25 lbs. Reasonable accommodations may be provided.

Supervisory duties: Provides supervision and leadership for the administrative team.

Partners with: Works closely with IT, Accounting, People Services, Directors, and Project Managers.

Key Representative to: Vendors, service providers, contractors, and internal stakeholders.
