MANAGER, MEDIA OPERATIONS & ACCOUNT MANAGEMENT (MEDIA PM)
Location: Los Angeles, CA
Department: Media (Planning & Activation)
Reports To: Supervisor / Associate Director, Media

The Role

We are seeking a Manager, Media Operations & Account Management (Media PM) to serve as theoperational and coordination lead across media planning and activation teams.

This role sits at the intersection of account management, project management, and media execution, ensuring campaigns are delivered on time, on budget, and with all required materials in place.

You will act as the central point of coordination across internal teams and clients, responsible for managing timelines, documentation, billing, and deliverables while supporting both execution and communication.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple workstreams in a fast-paced environment.

Key Responsibilities

Client & Communication Management
  • Serve as the primary day-to-day contact for operational updates, including:
    • Timelines
    • Deliverables
    • Campaign status
  • Sit in on internal and client calls, taking detailed notes and capturing key decisions
  • Distribute clear meeting recaps with action items, owners, and deadlines
  • Ensure alignment between client expectations and internal execution


Project Management & Workflow Ownership
  • Own and managecampaign timelines across all workstreams
  • Ensure teams are aligned, accountable, and delivering on schedule
  • Track deliverables across planning, activation, and reporting
  • Identify risks, delays, or blockers and proactively resolve them
  • Keep all stakeholders informed on progress and status


Campaign Coordination & Readiness
  • Ensure all required materials are in place prior to campaign launch, including:
    • Traffic sheets
    • Creative assets
    • Tracking and tagging requirements
    • Platform access and setup details
  • Coordinate campaign launches across channels
  • Partner with activation teams to ensure seamless execution


Creative & Asset Management
  • Gather, organize, and track allcreative assets and deliverables
  • Ensure assets meet platform specifications and deadlines
  • Coordinate between creative and media teams to support testing and launches
  • Maintain version control and organization across files


Billing, SOW & Financial Management
  • Track and manage:
    • Campaign budgets
    • Invoicing timelines
    • Billing accuracy
  • Support development and tracking of Statements of Work (SOWs)
  • Ensure all work aligns with approved scope and financial agreements
  • Partner with finance and leadership on reconciliation and reporting


Documentation & Deck Management
  • Maintain and update all client-facing materials, including:
    • Status decks
    • Reporting decks
    • Screenshot decks
  • Ensure all materials are accurate, organized, and client-ready
  • Manage documentation across projects and accounts


Process & SOP Ownership
  • Own and maintain workflow processes across campaigns
  • Ensure all teams follow:
    • Timelines
    • Deliverables
    • QA processes
  • Maintain documentation of:
    • Campaign workflows
    • Planning templates
    • Reporting standards
  • Identify inefficiencies and recommend improvements to increase operational efficiency


Cross-Functional Collaboration
  • Act as the central connector across teams, including:
    • Media Planning
    • Activation / Biddable
    • Creative
    • Analytics
    • Partnerships / Investment
  • Ensure seamless communication and execution across all functions
  • Support alignment across strategy, execution, and reporting


Team Accountability & Support
  • Ensure teams stay on task and aligned to deadlines
  • Follow up on deliverables and ownership across workstreams
  • Support onboarding of new team members into processes and workflows
  • Reinforce best practices across execution and documentation


Day-to-Day
  • Attending internal and client calls and capturing notes
  • Distributing recaps and tracking next steps
  • Managing timelines and deliverables across campaigns
  • Coordinating campaign launches and ensuring readiness
  • Updating decks, documentation, and reporting materials
  • Tracking budgets, invoices, and SOWs
  • Communicating with internal teams to keep workstreams moving


Strategy, Data & Tools Expertise
  • Project management tools: Asana, Monday, or similar
  • Excel / Google Sheets for budget tracking and reporting
  • Google Docs, Slides / PowerPoint for client deliverables
  • Media planning tools: eMarketer, Comscore (exposure)
  • Basic understanding of:
    • Media planning and activation workflows
    • Campaign tracking, pixels, and tagging
    • Paid media platforms (Meta, Google, programmatic exposure)
  • Strong organizational systems for managing files, assets, and timelines


Qualifications
