The Manager - Epic Ancillary Clinical Applications is responsible for the operational leadership, oversight, and
optimization of Epic ancillary clinical applications across the organization, including OPTime, Anesthesia, Beaker,
Radiant, Cupid, Lumens, and related ancillary modules. This role ensures that Epic ancillary systems are stable,
efficient, and aligned with clinical workflows, regulatory requirements, patient safety standards, and
organizational priorities. The Manager provides direct leadership to Epic Ancillary application analysts and serves
as the primary liaison between clinical leaders, information technology, Epic, and organizational governance
structures. This role plays a critical part in translating clinical and operational needs into sustainable Epic build,
standards, and support models.

Responsibilities

  • Provides day-to-day leadership and direction for Epic ancillary application support, maintenance, and
    optimization activities. Manages and prioritizes analyst workloads to ensure timely resolution of issues, enhancements, and requests. Ensures stability, performance, and ongoing support of Epic ancillary
    applications in a live production environment. Maintains accountability for application uptime, issue resolution, and release readiness.
  • Directly manages Epic application analysts, including performance management, coaching, skill development, and workload planning. Ensures analysts maintain required Epic certifications and proficiency standards. Fosters a culture of accountability, collaboration, and continuous improvement within the application team.
  • Oversees the design, build, testing, and implementation of Epic ancillary enhancements and new
    functionality. Reviews and approves application build to ensure adherence to Epic best practices,
    organizational standards, and patient safety requirements. Coordinates testing activities for upgrades,
    enhancements, and regulatory changes. Partners with Epic leadership to support system upgrades,
    foundation initiatives, and future deployments.
  • Serves as the primary Epic Ancillary application point of contact for nursing leadership, providers, operations, and clinical informatics. Partners with clinical stakeholders to evaluate workflow needs, assess system impact, and recommend standardized solutions. Supports change adoption by ensuring Epic solutions align with real world ancillary clinical workflows.
  • Participates in Epic governance structures, including change control, prioritization, and clinical councils. Ensures consistent application standards across ancillary departments and facilities. Supports regulatory and accreditation requirements related to clinical documentation, patient safety, and system controls. Identifies and escalates clinical or system risks related to Epic ancillary functionality.
  • Works closely with Epic Technical Services, internal IT teams, and third party vendors as needed.
    Collaborates with other Epic Application Managers to ensure cross application alignment and integration. Serves as an escalation point for ancillary application issues that require enterprise level resolution.
  • Maintains responsibility for department's operational excellence; ensures department delivers quality services in accordance with applicable policies, procedures, and professional standards.
  • Manages team members, which includes orientation, development and evaluation of team members, and monitoring the provision of delivering quality services. Participates in the recruiting, interviewing, and selecting of team members following policies, guidelines and applicable laws. Evaluates team member's performance relative to job goals and requirements. Provides coaching to staff, recommends education programs, and ensures adherence to internal policies and standards.
  • Maintains responsibility for the fiscal management of department and assures proper utilization of
    organization's financial resources.
  • Effectively communicates departmental, organization, and industry information to staff.
  • Assists in other duties as assigned to support the operational needs of the department and organization.
  • May be required to remain on campus immediately before, during, and after severe weather and/or disasters.


Qualifications

  • 5 years of experience supporting Epic or other EHR clinical applications, with a strong focus on
    ancillary workflows, required.
  • 1 year of leadership or supervisory experience in application support, informatics, or IT
    operations, required.
  • 1 year of experience supporting Epic in a multi hospital or health system environment, preferred.
  • 1 year of experience participating in Epic or enterprise EHR implementations, major upgrades,
    or optimization initiatives, preferred.
  • 1 year of Experience working with clinical leadership and governance structures, preferred.
  • Bachelor's degree in health informatics, clinical informatics, information systems, or other related field, required.
  • Epic certification or ability to attain Epic certification for assigned module(s) within a defined timeframe determined at time of hire.

As part of our selection process, candidates being considered for this position will be required to complete a Sphinx Assessment, which is used to evaluate job-related competencies and determine overall suitability for the role. Successful completion of the assessment is a required component of the hiring process.

This position also requires active participation in various phases of the Epic application lifecycle, including but not limited to implementation, go-live support, stabilization, optimization, and system upgrades. Candidates must be willing and able to accommodate the demands associated with these activities, which may include:
  • Working additional hours outside of regularly scheduled business hours, including evenings and weekends, as project needs dictate.
  • Participating in on-site go-live and support activities across multiple organizational locations.
  • Traveling occasionally for Epic training, certification, project meetings, or other work-related purposes, including travel outside of the state.
  • Traveling between organizational facilities to provide operational, project, and end-user support.


Candidates should be prepared to maintain flexibility in their schedules to support critical project milestones and organizational operational needs.
