Summary:
  • Leads the strategic oversight of all aspects of development operations for Doylestown Health Foundation. Will fill an essential role leading data-driven strategies and decision-making for optimal performance and fundraising results. Serves as the primary manager for all of Doylestown Health Foundation's database management systems and oversees the operations of the Foundation's gift processing which handles an average of $12 - $25 million in contributions each year. In addition to overseeing database management and gift processing, will also be responsible for fundraising and event reporting. Serves as the chief liaison with Accounting/Finance and others across the organization to manage financial reporting, exports, gift reconciliation, fund creation, and fund balance management. S/he will be responsible for reconciling more than 50 restricted and unrestricted donor funds, managing deposits, tracking disbursements, and reconciling balances. Supports the entire Advancement team with special projects and events, as they require database support from queries to reporting, to mail lists, to exporting data, to tracking, to event reconciliation.
Responsibilities:
  • 1. Manages Raiser's Edge donor database, including creation and clean-up of all coding and tracking systems, security rights, and training new staff members. Establishes best practices for data entry, coding, record maintenance, gift entry, donor tracking, disaster planning, and other related items. Oversees and enforces policies and procedures necessary to maintain the integrity of the database Recommends processes and upgrades to keep database relevant and support efficient and effective utilization Assists with creating new constituents, appeal codes, mail packages, funds, attributes and/or other related fields as well as setting up special events in RE Remains informed on industry best practices with regard to database maintenance and tracking, including lead the strategic oversight of all aspects of development operations for Doylestown Health Foundation. Regularly attends Blackbaud product updates, briefings, and trainings Maintains a gift processing document of policies and standard operating procedures for database administration, including a disaster plan accounting for organizational downtime Ensures that all work is performed with industry best practices in mind to maintain the health and integrity of the database 2. Processes and receipts all contributions made to the Doylestown Health System. Ensures that contributions are recorded accurately, safeguarding that donor intent is met. Ensures that the retention of gift information and receipting protocols meet IRS regulations and standards. Enters gifts into the Raiser's Edge database, including checks, cash, pledge payments, online and offline credit cards, in-kind gifts, matching gifts, EFTs, stock, property, etc. Records all pledges and pledge payments in the Raiser's Edge database, forwarding pertinent information to the accounting department and attaching supporting documentation to constituent records Generates the appropriate tax receipts and accompanying documentation for signature by the Chief Advancement Officer and Chief Executive Officer in a timely and efficient manner Updates tax receipt mail merges files and acknowledgement copy as needed Works with the Accounting/Payroll departments to process and track payroll deductions/PTO donations Coordinates with our asset management service regarding transfers/sales of stock gifts to track delivery, sale, and receipt of funds Confirms and process all matching gifts Generates end-of-year tax receipts for donors who give through payroll deduction and recurring credit card payments Tracks and reports on outstanding pledge balances and charges recurring donations and pledges payments in a timely manner, including generating pledge reminders biannually 3. Prepares and coordinates reports with Accounting/Finance to ensure that Foundation revenue is captured accurately in Meditech. Generates cash reports regularly and as needed to support reconciliation of cash between the Foundation and Accounting departments. Responsible for generating weekly and end-of-month Foundation cash files for accounting to upload to Meditech. Ensure timely gift processing and reporting to meet deadlines set by Finance, regardless of regular business hours, and holidays (especially when it relates to fiscal year end and calendar year end requirements) Coordinate with Accounting to reconcile gift revenue reports on a quarterly and annual basis, or as needed Run weekly reports for departments with restricted gift accounts Provide back-up documents to answer audit questions as requested by accounting for 990 and other official documents. 4. Serves as primary liaison between the Investment Management team and Doylestown Health to ensure smooth process for receiving, documenting and receipting gifts of stocks, securities, and mutual funds. Oversees all endowment funds, totaling more than $5M in cash and future commitments. Serves as liaison to SEI to manage receipt, accurate documentation, handling and receipting of all gifts of stocks, securities, and mutual funds. Oversee all endowment funds, monitoring and managing all deposits, overseeing gains/losses, and ensuring percent of interest is transferred to an appropriate spendable account. 5. Serves as the chief liaison with Accounting/Finance and others across the organization to manage financial reporting, exports, gift reconciliation, fund creation, and fund balance management. Manages Foundation funds with relation to revenue tracking, disbursements and transfers, reconciliation, fund creation, and other related items Responsible for reconciling more than 50 restricted and unrestricted donor funds; managing deposits, tracking disbursements, and reconciling balances. Generate forms to create new funds and work with accounting to populate credit and debit account numbers in Raiser's Edge Prepare fund transfer forms and work with accounting to move funds in a timely manner Work with Accounting to reconcile fund balances and transfers 6. Oversees use of Blackbaud's ResearchPoint software to identify prospective donors Manages Blackbaud's ResearchPoint software to identify hospital patients that could become prospects Work with MIS to schedule weekly patient screenings in ResearchPoint using Meditech Integrate Raiser's Edge and ResearchPoint databases to transfer information between them Ensure donor and patient data is secure and encrypted to industry standards; maintains HIPAA compliancy 7. Participates in and manages record keeping for special events Process online registration, cash gifts, and tax receipts for all events Assist in revenue tracking for special events such as the Golf Outing/Raffle/Friends of the Heart Activities Prepare mailing lists, email queries, and donor attendance reports Assist with on-site event support as needed 8. Provides donor information support and database management. Assist donors, prospects, committees and visitors with requests for information Produce various reports throughout the year that assist the Advancement team in researching questions to influence strategic planning Maintain accuracy of constituent records, including updating addresses, contact information, spousal/relationship status, employment history, membership in various DH groups, applicable attributes, etc. Assist with and verify appropriate queries for mailings as needed. Maintain fundraising files and archives Perform data enrichment services on a quarterly and annual basis, including Address Finder, Age Finder Deceased Finder, Phone Finder, and Email Finder Perform a quarterly export of relevant donor information to save on the shared drive in the event of a Blackbaud outage 9. Supports the Advancement team with needs related to Raiser's Edge and all data tracking and reporting. Generates all mail and email lists and segment lists thoughtfully and strategically Runs reports and queries as requested Integrate third-party software with Raiser's Edge, including but not limited to Constant Contact, Graduway, PayPal, and JustGiving Responds to Advancement staff inquiries regarding anything data related Provide lists in a way that are usable and easy to implement Runs all donor recognition lists for the annual report and other donor honor rolls 10. Manage payment services and electronic mobile pay devices, ensuring PCI compliance Oversee Online Express, PayPal, and Blackbaud Merchant Services, the Foundation's credit card processing service Monitor donor activity in PayPal and Blackbaud Merchant Services including weekly reconciliation reports, researching failed transactions, and issuing donor refunds as needed Manage Blackbaud mobile pay terminals to ensure devices remain up to date with the latest software updates Set staff user permissions to access mobile pay terminals Seek support from MIS to ensure that all software and processes are in-line with PCI compliance standards
