Opportunity

PeopleTec is currently seeking a Management Analyst / Program Support Specialist to support our Huntsville, AL location.

 

The Management Analyst will provide critical support to PAE Fires, Advanced C-UAS Effects Project Office. The position requires combining analytical expertise and operations support for a high tempo Project Management Office. This role involves providing high-level management analysis, improving program performance, managing day-to-day programmatic administrative functions, and ensuring smooth communication between leadership, internal teams, and external stakeholders. The individual will facilitate program operations, support senior management with applicable administrative tasks and contribute to efficient program delivery through task management systems for optimization of data-driven decision-making processes.

 

Duties:

  • Conduct day-to-day operational support for a high tempo O-6 Project Office to include In/Out processing actions for all incoming/outgoing personnel.
  • Responsible for Emergency Personnel Data information to ensure all updates are accurate.  
  • Process organizations Hiring Requests Forms.
  • Assist with maintaining the Table Distributions and Allowance tracker (TDA).  
  • Track supply inventory and assist with processing travel authorizations and vouchers in DTS.
  • Process FedEx mailing requests.
  • Process Award packages.
  • Assist with property accountability.
  • Facilitate program operations duties such as; maintaining and updating ACE Project Office telephone directory, seating charts, updating staff call charts, cubicles and door signage.
  • Solve operational problems.
  • Managing projects and coordinating with cross-functional teams.
  • Prepare management reports, presentations, and recommendations for executive leadership.
Qualifications

Required Skills/Experience:

  • 8-10+ years of experience 
  • Communication Skills: Excellent written and verbal communication skills, capable of preparing clear and concise reports, briefings, and official correspondence.
  • Problem-Solving: Ability to identify and resolve complex Administrative challenges.
  • Organizational Skills: Strong organizational skills to effectively manage multiple tasks, projects, and deadlines while maintaining accuracy.
  • Administrative Support Skills: Experience in providing executive assistance, including calendar management, scheduling, travel coordination, and correspondence drafting.
  • Must be proficient in Microsoft Suite of tools (e.g. Outlook, Word, PowerPoint, MS Teams, Excel) and the Defense Travel System (DTS).
  • Ability to operate in a dynamic, fast-paced environment and meet strict deadlines.
  • Ability to multi-task and prioritize important, competing tasks and information.
  • Self-starter that needs little direction/guidance on what next steps are required with projects and demonstrate a strong attention to detail.
  • Excellent verbal communication, organizational, and interpersonal skills.
  • Ability to brief DoW senior leaders and influence decision-making.
  • Flexible and positive attitude in the face of challenges and ambiguity.
  • Ability to take initiative to better support the organization.
  • Must have a current driver's license.
  • Travel: 10%
  • Must be a U.S. Citizen
  • Active U.S. DoD Secret clearance is required to perform this work. Candidates are required to have a Secret clearance or the ability to obtain one upon hire, and the ability to maintain this clearance level during employment. 

Education Requirements:

  • Bachelor’s Degree or higher, from an accredited university, in information technology, business administration, or related field, for the performance of these duties.

Desired Skills:

  • Engaged routinely with General Officers and Senior Leaders, offering executive‑level briefings, recommendations, and cross‑functional coordination across joint, interagency, and service components
  • Experience with DoD Programs: Experience working within the Department of War or a related government agency, particularly in acquisition and program management of warfighter systems.
  • Event Planning Experience: Experience in planning, organizing, and executing high-profile events or meetings is an asset.
