Intercity Transit is recruiting for the full-time position of Maintenance Administrative Assistant for the maintenance department. This position will perform a variety of administrative, clerical, and data entry duties in support of the Fleet & Facilities Maintenance divisions. As an Assistant, this position primarily performs specialized and routine tasks of a support nature, requiring knowledge of other departments, department activities, policies, procedures and general office methods.

Examples of Duties
As a Maintenance Administrative Assistant, you will:
  • Performs various clerical and office duties, utilizing standard office equipment, to include: screening incoming calls; taking and transmitting messages; distributing mail; photocopying; performing data entry; preparing mailings; typing; and word processing.
  • Manages issuing keys and retrieving keys for new and departing employees.
  • Assists with maintaining department phone lists, maintains department payroll files.
  • Develops and maintains databases, logs, and tracking systems to facilitate department operations and programs.
  • Maintains filing system, including maintenance history files, component files, work orders, operator reports, inspection forms, and invoice data.
  • Prepares and records engine/transmission fluid testing samples.
  • Assists with or conducts special research assignments; evaluates, analyzes data, and prepares conclusions and recommendations for consideration.
  • Participates in a variety of meetings, as well as reserving meeting rooms for maintenance functions; prepares related agendas, minutes, and other supporting documents.
  • Greets and assists employees, outside vendors, and the public on the telephone or in person, determines nature of business, and directs callers, employees or visitors to the appropriate person.

Typical Qualifications

  • Associate's Degree preferred, and
  • At least three years (3) of increasingly responsible administrative support experience; OR equivalent combination of education and experience may be considered.
  • Intermediate skill level in Microsoft 365, to include: Word, Excel, Power Point, and Teams.
  • Ability to effectively work in a team environment.
  • Experience performing basic research, analyzing data and information; developing, evaluating, and presenting recommendations.
  • Customer service skills that reflect courtesy and dependability while maintaining a positive attitude and contributing to a diverse team environment.
  • Must be reliable with regular, predictable attendance.

Washington State Public Employees' Retirement System (PERS)

Deferred Compensation Plans (401K and 457)

Intercity Transit offers three voluntary deferred compensation plans. Employees who contribute at least 8.5% to a plan receive a 8.5% employer match. Employee contributions are not subject to federal income tax until withdrawn.

Shift Differential

An employee assigned to swing shift shall receive a shift differential of three and a half percent (3.5%) added to the employee's base pay for all hours worked during the bid period. An employee assigned to graveyard shall receive a shift differential of six percent (6%) added to the employee's base pay for all hours worked during the bid period. Shift differential will be applied to all paid leaves.
Floating Holidays
lntercity Transit provides IAM covered employees floating holidays in lieu of traditional holidays. Eligible employees receive six floating holidays each year awarded by adding up to forty-eight vacation hours to each employee's accumulated vacation hours on January 1 of each year. Employees, who are not active for duty on January 1 and who return to work after January 15 and remain in paid status, receive accrued floating holidays in the form of vacation hours on their date of return to work based on the following schedule:

Returning to work January 16-April 1: 38 hours

Returning to work April 2-July 1: 29 hours

Returning to work July 2-October 1: 19 hours

Employees hired after January 1 receive one floating holiday (10 hours vacation time) at the start of their introductory period and accrue vacation hours in lieu of floating holiday time according to the following schedule:

April 1: 28 hours

July 1: 19 hours

October 1: 9 hours
Shoe Allowance
Intercity Transit provides a $225 a year shoe allowance to IAM employees who are required to wear protective shoes during their work hours to purchase protective-toed safety shoes or protective oil resistant soled safety shoes.
Prescription Safety Glasses
Intercity Transit will reimburse employees up to $200 per year for the cost of prescription safety glasses upon presentation of a receipt.
