Full Job Description
Legal Billing Manager Position Responsibilities • Manages Billing Department: Train, supervise, and assign daily workloads. Organizes Billing Specialist assignments and monitors productivity, attorney and client relationships, and addresses/resolves day-to-day issues and challenges. Address staffing needs and provides performance feedback to billing specialists as needed to ensure a smooth and well-functioning team. • Oversees Billing Review & Compliance: Ensures Billing Specialists are trained and competent when reviewing draft invoices for accuracy, completeness, and compliance with client and carrier billing guidelines, identifying and correcting errors, inconsistencies, and guideline violations prior to submission. Trains Billing Specialists to identify recurring billing issues. Proposes process improvements to reduce rejection rates and appeal success. Ensure proper use of timekeeper rates, task codes, budgets, and all client requirements are followed. Manages and monitors billing frequency requirements for all clients and carriers, ensuring invoices are released accurately and timely in accordance with established billing schedules. • Supervises E-Billing, Appeals, & Adjustments: Ensures invoices are submitted through third-party e-billing platforms and monitors invoice status through final approval. Initiate, manage, and track e-billing appeals with attorneys and insurance carriers. Analyze carrier reductions, rejections, and guideline violations to determine corrective action. Work all billing adjustments through final resolutions to maximize recoverable revenue. • Communication & Collaboration: Serve as primary point of contact and escalation point for billing specialist team. Ensures Billings Specialists communicate professionally with attorneys and professional staff of varying styles to resolve billing issues efficiently. Communicate with insurance carriers and e-billing vendor support teams to resolve technical or guideline related issues. • Documentation: Ensures Billing Specialists maintain organized billing records, including submission of rates, budgets, e-billing appeals, and client correspondence. • Client Relationships: Sets the example for Billing Specialists on building and maintaining positive relationships with clients by providing excellent customer service and addressing billing-related concerns professionally. • Software: Utilize legal billing software and systems proficiently to perform billing tasks efficiently and accurately. Work extensively with various third-party e-billing vendors including but not limited to Bottomline, Legal eXchange, CounselLink, TyMetrix, Legal Tracker, Legal Solutions Suite, Collaborati, and Quovant. Proficiency in Microsoft Office (Outlook, Excel, Adobe, and Word; MS Office 365 preferred). Requirements • Bachelor's degree in finance, accounting or business administration preferred, or equivalent hands-on experience • 5+ years of billing experience in a law firm or professional services setting • 3+ years of direct team leadership, preferably in a billing department • Hands-on experience with legal billing software and Microsoft Excel • Strong organizational skills and an ability to manage multiple responsibilities simultaneously with attention to detail and commitment to accuracy • Proactive, motivated, and adaptable-able to quickly learn new systems and processes. Able to work overtime when necessary The salary for this position is $90,000 - $100,000 annually, commensurate with experience.
