About the Role

OpenLoop's mission is to bring care anywhere by powering telehealth solutions at scale. We're hiring a Lead Project Manager, Workplace Operations to own workplace design and construction from concept through occupancy, managing scope, schedules, budgets, and relationships with architects, engineers, contractors, landlords, and client partners.

Your initial portfolio includes a security and breakroom upfit in Dallas and multiple industrial and mixed-use build-outs that improve operational flow, increase capacity, and support growth. You'll coordinate projects across Madison, Dallas, and satellite sites, aligning shared vendors, standards, and dependencies across the portfolio.

As we build this capability internally, you'll help establish how OpenLoop delivers projects and hold internal teams and external partners accountable without direct reporting authority. This remote role is approximately 40 hours per week, with 25-50% travel for active design and construction, site walks, inspections, and turnover.

What You'll Do

Lead design and construction: Own delivery from programming and design-team selection through construction documents, bidding, construction, punch list, closeout, and warranty. Lead design reviews, ensure plans meet operational needs, evaluate submittals, RFIs, and change orders, and conduct site quality reviews.
  • Manage the portfolio: Sequence design, construction, and activation across sites. Coordinate shared vendors, long-lead items, and dependencies; identify opportunities for standardization and bulk purchasing; and escalate schedule conflicts with recommended solutions.
  • Own budgets and capital reporting: Track budgets, actuals, commitments, spending, contingency, and forecasts at completion. Explain variances, evaluate cost-saving opportunities, manage changes, and support annual capital planning.
  • Lead procurement and vendor performance: Run competitive bids for design, construction, furniture, fixtures and equipment (FF&E), and specialty trades. Evaluate total cost of ownership and partner with contract administration on contracts, scopes, certificates of insurance, and purchase requests through Zip/Ramp.
  • Represent OpenLoop and drive accountability: Serve as the owner's contact for clients, landlords, property managers, brokers, designers, and contractors. Run productive meetings, communicate status and risks, and track decisions and commitments in a project management tool with clear owners and deadlines.
  • Coordinate permitting and compliance: Manage permitting, code review, local authority requirements, and inspections across jurisdictions. Partner with Legal, Compliance, and Credentialing on facility licensing, registration, and inspection readiness.
  • Deliver operational readiness: Coordinate FF&E, IT and security installations, signage, utilities, occupancy, and moves. Partner with IT, Security, People Ops, Legal, and Finance to deliver spaces ready for day-one operations, with complete turnover documentation.
  • Build repeatable processes: Develop SOPs, design standards, templates, checklists, and intake workflows in Confluence. Apply lessons learned, reduce manual work, and support related cross-functional projects and reporting needs.
  • Other duties as assigned.


Who You Are
  • Bachelor's degree in Construction Management, Civil Engineering, or a related field, or equivalent field experience.
  • 5+ years managing design and construction projects, ideally as an owner's representative or in-house project manager.
  • Experience delivering concurrent projects across sites and representing an owner or client with external stakeholders.
  • Ability to interpret construction documents, bids, and change orders and translate them into clear scope, cost, and risk assessments.
  • Strong project financial skills, including budgeting, contingency management, and change-order evaluation; advanced Excel or Google Sheets proficiency required.
  • Hands-on experience building and managing project plans in Monday, Jira, or a similar platform.
  • Working knowledge of permitting, codes, and inspections across multiple jurisdictions.
  • Clear, concise communication; strong organization and attention to detail; and the ability to lead meetings and hold peers and partners accountable without direct authority.
  • A service-minded approach and the ability to work independently in a fast-paced, multi-site environment with shifting priorities.
  • Proficiency in Microsoft Office, Google Workspace, and virtual meeting platforms, plus availability for approximately 25-50% travel.
  • Preferred: Healthcare, pharmacy, lab, or industrial build-out experience; PMP, CCM, or equivalent certification; and familiarity with Bluebeam, AutoCAD or Revit viewers, Procore, Zip, Ramp, or Confluence.
