The Intellectual Property Assistant provides critical administrative and overflow prosecution support to the Firm's Intellectual Property practice, working closely with attorneys, staff, and clients to facilitate U.S. and international patent and trademark prosecution while ensuring matters are handled accurately, efficiently, and in accordance with established procedures.

Responsibilities include preparing and filing U.S. patent applications, Information Disclosure Statements, office action responses, issue fee documents, and other patent prosecution filings, as well as preparing and filing PCT applications and related correspondence. This role also reviews incoming communications from the USPTO and WIPO, reports correspondence to clients, prepares trademark renewals, participates in quality control procedures for patent filings, maintains electronic records, assists with docket reports, tracks billable time, and provides coverage for team members during absences. The Intellectual Property Assistant also supports attorneys and staff with a variety of administrative and operational tasks to help ensure the smooth day-to-day functioning of the IP practice.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining exceptional accuracy. Strong written and verbal communication skills, professionalism, and a collaborative mindset are essential, as this role works closely with attorneys, clients, and members of the IP Operations team. Candidates should be comfortable working independently, exercising sound judgment, and adapting to changing priorities while delivering outstanding client service.

Strong computer skills and proficiency in Microsoft Office (Word, Outlook, Excel) are required. Experience with USPTO systems, including Patent Center, TSDR, EPAS, and ETAS is preferred, along with familiarity with intellectual property docketing systems. A high school diploma or equivalent is required, while an Associate's or Bachelor's degree is preferred. Candidates should have at least two years of administrative or legal support experience, with prior U.S. intellectual property prosecution experience strongly preferred.

Procopio offers generous total compensation packages. Typical pay range is from $70,000 - $96,900+, depending on experience. If your pay expectation is outside this range, we still encourage you to apply. Bonuses are awarded in recognition of individual and firm performance. Full-time employees can participate in our comprehensive benefits program, including medical (HMO/PPO plans), dental (HMO/PPO plans), vision, flexible spending and health savings accounts, an Employee Assistance Program, firm wellness incentives, a 401(k) profit-sharing program, and a generous paid time off policy. There are also opportunities for professional growth and advancement within the Firm.
