Job Description:

Reporting to the Manager, International Student Integration, the incumbent provides administrative support and logistical coordination for the International Education Centre (IEC) events and support services. In consultation with the Manager, the incumbent develops and implements international student integration and success programs and initiatives for the IEC to ensure a welcoming and supportive environment for the College's international students at the Ottawa and Pembroke campuses.

Working closely with the International Student Advisors (ISAs), the incumbent organizes and delivers events and activities that support programming in the IEC and more specifically the goals of retention, integration, success and engagement. The incumbent assists the International Student Advisors (ISAs) in engaging in a process of continuous improvement for services, including ensuring that assessment is built into all the programming offered by the IEC, tracking and reporting on engagement and participation and managing registrations for these programs. Fostering a sense of internationalization across campus, the incumbent will also collaborate on student events with other departments, student groups and community organizations to create inclusive programming.

The incumbent manages social media promotions of said programs by maximizing use of IEC social media accounts such as Instagram, etc. and maximizing available peer support resources. The incumbent is responsible for the development of an ongoing social activity agenda to populate the international student activity calendar and hosts virtual and on-campus social and cultural programming events and activities. As such, the incumbent is comfortable in hosting large virtual and face-to-face events.

The incumbent recruits, trains, and provides work assignments for volunteers and student staff assisting with international student orientation activities, student retention programs and coordination and delivery of international student events. The incumbent is responsible for maintaining and updating various scheduling and programming platforms, which may include Library Calendar and others as necessary.

A proficiency in Microsoft Office tools and an understanding of social media platforms and tools and an ability to adapt to and implement new tools and platforms as they are developed and/or introduced is required.

The position may require some work on weekends and/or evenings, to accommodate students event schedules.

Duties and Responsibilities:
  • International student programming and events coordination:
    • The incumbent designs, develops and coordinates social and cultural programs and events for international students at Algonquin College. Activities may include developing activities, hosting events, venue booking or platform set-up, catering, registration, promotion, activity facilitation, and volunteer management with attendance of up to 350 students per event. The incumbent must be comfortable speaking to large audiences.
    • In partnership with campus stakeholders, the incumbent creates resources, and delivers and coordinates the delivery of group sessions and activities on wellness and personal management topics that help international students adjust to student life and be successful.
    • In consultation with the Manager, the incumbent will liaise with campus stakeholders and collaborate on student events including other departments, student groups and community organization. Tasks will include activity development, marketing support, and hosting/facilitation.
    • The incumbent coordinates the recruiting, training, and task assignment of student volunteers for the Goin' Connect platform, orientation and other events and activities.
    • The incumbent recommends budget requirements based on proposed activities and, in consultation with the Manager, monitors program budgets to ensure against over expenditures.
  • Administrative Activities:
    • The incumbent provides administrative support to the student support team, including providing back up coverage for the Customer Service Representative (CSR) position, by providing daily front desk coverage for breaks and triaging inquiries in the Help Ticket system as needed.
    • The incumbent maintains a database of promotional items on hand, prepares orders, based on needs of IEC, with input from IEC staff.
    • The incumbent maintains a database of current and past volunteers.
    • The incumbent completes administrative tasks such as uploading order requests, newsletters, etc. to the appropriate portals as needed.
    • Other duties as assigned.


Required Qualifications:
  • Minimum of two (2) year diploma or equivalent in Office Administration, Business Administration or relevant fields.
  • Minimum of three (3) years of demonstrated experience in an administration function, including one (1) year of experience in the planning and delivery of programs and events.
  • Demonstrated experience in delivering presentations and creating presentation materials.
  • Demonstrated basic skills in social media management and adaptation to changing technology.
  • Demonstrated experience in working with students and/or newcomers.
  • Incumbent must be skilled in balancing administrative, interpersonal and programming priorities.
