Information and Tools Analyst
The Role
Serve as an Information and Tools Analyst supporting technical administration, system maintenance, and operational coordination across key R&D business tools and processes. This role combines platform ownership, IT liaison support, SharePoint governance, reporting/dashboard development, and AI tools support to help ensure critical tools, policies, and workflows are maintained effectively.
What You'll Do
Planisware Administration and Support
• Lead technical administration and day-to-day maintenance support for Planisware, Program Management Software
• Coordinate issue resolution, user training and support, system updates, and ongoing platform health
• Partner with business and technical stakeholders to improve reliability, usability, and governance of the tool
• Help maintain supporting documentation, access controls, and administrative processes
IT Liaison Support
• Serve as liaison for IT-related coordination, including asset management and software requests
• Support intake, tracking, and follow-through for end-user technology needs
• Help bridge business needs with enterprise IT processes and support teams
Compliance and Policy Adherence
• Support compliance activities tied to Information Lifecycle Management (ILM), internal publications, and human subject research policies
• Help maintain adherence to required processes, documentation, and internal controls
• Coordinate with stakeholders to ensure policy-related requests and reviews are completed accurately and on time
• Identify gaps, risks, or follow-up actions needed to improve policy compliance
SharePoint Governance and Site Maintenance
• Oversee SharePoint governance practices and support ongoing maintenance of site content, structure, access, and usability in alignment with organizational standards
• Support content owners and stakeholders in following governance expectations
Operational Reporting and Dashboard Oversight
• Support oversight of operations dashboards, including IP metrics, scorecards, and resource management
• Help maintain data quality, reporting consistency, and stakeholder visibility into key metrics
• Coordinate updates, enhancements, and recurring reporting needs with business partners
• Assist in translating operational needs into dashboard and workflow improvements
AI Tools Enablement and Support
• Support evaluation, adoption, and day-to-day use of AI tools that improve team productivity and operational efficiency
• Partner with business and technical stakeholders to support governance-aligned use of AI tools, including appropriate documentation and process adherence
• Assist with implementation, maintenance, user guidance, and continuous improvement of approved AI capabilities and workflows
Your Skills & Abilities (Required Qualifications)
• Bachelor's degree in business, information systems, computer science, software engineering, or a related field, or equivalent practical experience
• Experience supporting enterprise tools, technical administration, systems coordination, or business operations
• Strong organizational skills with the ability to manage multiple priorities across technical and operational work
• Experience working across cross-functional teams and coordinating with both business and IT stakeholders
• Strong written and verbal communication skills
• Ability to work independently, identify issues, and drive follow-through to resolution
• Experience with compliance, governance, documentation, or policy-based processes
What Will Give You a Competitive Edge (Preferred Qualifications)
• Experience with Google Workspace
• Experience administering or supporting Planisware or a similar project and portfolio management platform
• Experience with SharePoint governance, site administration, and content maintenance
• Experience supporting evaluation, implementation, or governance of AI tools in a business environment
• Ability to understand and write JavaScript
• Experience using Power BI or other business intelligence and data visualization software
• Experience creating or supporting Power Automate workflows
• Familiarity with asset management, software request processes, and end-user technology support
• Strong ownership mindset and accountability for results.
